POSITION:          Secretary II/Financial
LOCATION:         Lane Transportation
REPORTS TO:    Transportation Supervisor
Position summary: This secretarial position is responsible for supporting the Transportation Department

QUALIFICATIONS:    
  • High School Diploma or GED.
  • Two years of any combination of secretarial level work experience and/or higher education (Business School education)
  • Thorough knowledge of secretarial techniques, office procedures and business procedures.
  • Proficient in using computer applications such as Microsoft Word and Excel.
  • Proficiency in both written and oral English and proofreading
  • Must be detailed oriented
  •  Knowledge of basic mathematics, data analysis and general bookkeeping methods preferred.
  • Experience with the Delaware First State Financials (FSF) Preferred
  • Ability to establish and maintain effective working relationships with district personnel, vendors and the public.
  • Ability to coordinate workload to meet schedules/deadlines.
  • Demonstrates ability to make decisions, comprehend multiple instructions, work under pressure, and exercise good judgment, discretion and confidentiality in performance of duties.
  • Demonstrates pleasant, cooperative attitude.
  • Demonstrates good attendance record.
  • Effective verbal and written communication skills.
  • Must be able to stand and work continuously for a minimum of 4 hours per workday
  • Minimum lifting requirements- 50 pounds (with assistance)
  • Must report to work on time every workday, except as afforded by existing law
  • Test Performance Standards:
 

                            Typing               45 wpm
                            Math                 62% success rate
                            Proofreading    60% success rate
                            Excel:               60% success rate
 

PERFORMANCE RESPONSIBILITIES:
  • Handle District inquires for district bus scheduling (Field Trips, After-school activities, etc.)
  •  Provide quotes/estimates for district bus transportation inquiries
  • Receives, opens, prioritizes and re-directs mail to those who should take action and/or should be kept informed of its contents.
  • Assist in maintaining District and Contractor School Bus Driver and Attendant records in FileBound/TRS database.
  • Assist with Shop recordkeeping for Christina School District School Buses
  • Assist with Fleet Maintenance Program
  • Work with Certified Delaware School Bus Driver Trainers to schedule mandatory driver training; schedule DMV road test appointments, submit emergency road test appointments to DOE and communicate DMV appointments to the Dispatch Office.
  • Responsible for all Transportation Department Billing and Invoicing.
  • Enter Purchase Orders and track balances to ensure adequate funding.
  • Submit Purchase Order Increase Requests to Business Office as needed.
  • Handle billing for damages to District school buses
  • Accountable for all personal reimbursements processing for department.
  • Assumes responsibility for inventory, ordering, maintenance of office supplies/equipment.
  • Operates appropriate office equipment
  • Assists the administrator(s) in developing and preparing information and compiling reports.
  • Develops priorities, methods and procedures for effective performance of duties and office operation.
  • Assists Administrator(s) in administrative tasks.
  • Prepares all budgetary reports for department as needed.
  • Trains and supervises other clerical personnel, as required by the assignment.
  • Exercises good judgment and confidentiality in conformance with District policy.
  • Performs secretarial duties, as assigned by Administrator(s).
