POSITION TITLE: Secretary
POSITION SUMMARY:
Under minimal supervision, performs data entry, clerical and reception support for the Human Resources Department; including filing and answering telephones. Identifies and satisfies the needs of customers. Assists the HR team with clerical duties as needed. Interacts with employees, applicants and visitors in a cheerful, cordial manner.
ESSENTIAL JOB FUNCTIONS:
- Greets, screens and provides assistance to the general public and our employees.
- Answers telephones, screens calls and transfers calls accordingly.
- Opens office mail and routes to appropriate department members.
- Maintains personnel files (i.e., filing, copying etc.) and authorizes appropriate access to employee files.
- May arrange for office repairs to office equipment as needed, inventories, orders and maintains office supplies.
- Actively participates in team meetings and records minutes for the meeting.
- Completes and sends Verifications of Employment and initial Unemployment Claims.
- Have a working knowledge/understanding of employee benefits in order to have the ability to interface with employees and answer questions.
- Performs education and license/certification verifications.
- May type correspondence and other work as needed accurately and in the correct format.
- Assists the HR Business Partners/Assistants with pre-hire drug screens.
- Assists the HR team with administrative duties as needed.
MARGINAL JOB FUNCTIONS:
- Performs other duties as assigned.
Job Requirements
QUALIFICATIONS:
REQUIRED:
Minimum of one year office/ secretarial experience, 50 wpm typing and word processing skills and must be able to work independently. Ability to communicate effectively, orally and in writing. Have excellent telephone skills and be a team player. Ability to organize, prioritize work and pay strict attention to detail. Ability to multitask with frequent interruptions. Must maintain a high level of confidentiality at all times. Proficiency in all Microsoft Applications.
PREFERRED:
Prior Human Resources/HRIS experience.
TYPICAL PHYSICAL/MENTAL DEMANDS:
Sedentary to medium physical demands. Ability to occasionally lift up to 25lbs, some stooping to gain access to files. Excellent organizational skills. High stress, many interruptions; ability to communicate with all types of personalities. Ability to work independently as well as with others. Must maintain strict confidentiality.
PAY RANGE: $17.35 - $25.59
