Marcum LLP is seeking a Seasonal Receptionist/Operations Support Associate to join our growing and well-established national firm in Philadelphia, PA. We are a fast-paced, public accounting practice. This position will work 5 days a week from January through April and August through October.
This Seasonal position will be responsible for greeting and directing visitors who are calling and entering the office and provide assistance with general office administration responsibilities as requested.
Must be able to work well with a team in a very fast-paced environment. Must also be punctual and reliable. This is a fully on-site position.
Responsibilities:

  • Answer and route all phone calls
  • Greet internal and external guests and clients, either in person or by telephone;
  • Responds to inquiries from employees, clients, etc. and refers, when necessary, to the appropriate person, official or department.
  • Sort and distribute mail throughout office
  • General clean up and organization of Bistro/kitchen area, including helping with meal set up and putting away.
  • Responsible for daily scanning of tax documents
  • Prep files to be scanned (remove staples, paper clips, unfold edges, remove documents from binders, etc.). Must be able to keep all files organized as you work with them.
  • Scans documents and saves to GoFileRoom, with correct and accurate indexing.
  • E-mail documents to partners/managers for their review.
  • Ensures that the scanned or uploaded documents are in the system accurately and accessible to personnel promptly.
  • Ensures the disposition of tax documents are in compliance with instructions on routing sheet.
  • Must be able to work independently.
  • Maintain a strong work ethic with a total commitment to success each and every day.

Qualifications:
  • High school diploma or equivalent required.
  • Minimally one year experience in an administrative capacity position.
  • Computer skills including MS Office (Word, Excel, Outlook).
  • Ability to prioritize work to balance multiple projects and deadlines.
  • Excellent verbal and written communication skills.
  • Flexibility on potentially working overtime hours as needed based on workflow demands.
