School Administrative Operations Coordinator

REPORTS TO: Head of School &

STATUS: Exempt/Salaried

DIRECT REPORTS: TBD

SALARY: $60,000 - $65,000.00 (Commensurate with education

and experience)

Purpose of Role

Working under the direction of the Head of School, the School Administrative Operations Coordinator (SAOC) will play a critical role in overseeing all day-to-day administrative coordination within the school environment. The candidate in the SAOC role will require independent judgment and the ability to manage various administrative tasks efficiently and effectively for the school, faculty, students and leadership team.

Key Responsibilities

Administrative Coordination & Support:

  • Manage all Administrative Operations within the school, including, record-keeping and correspondences.
  • Coordinate with faculty, staff, school administrators and the leadership team in supporting operational daily activities.
  • Implement and maintain efficient administrative processes and procedures.
  • Coordinate office operations and provide support to the leadership team.
  • Assist with ad-hoc and special projects and initiatives as assigned.
  • Perform other duties as assigned.

Communication & Correspondence:

  • Serve as primary point of contact for internal and external communication; to include interagency coordination.
  • Manage incoming inquiries via phone, email, and in-person and direct them to the appropriate parties.
  • Prepare and distribute correspondence, memos and other documents as needed.
  • Evaluate situations involving staff, parents and the public for purposes of taking action and direction to appropriate person.
  • Perform other duties as assigned.

Scheduling & Calendar Management:

  • Coordinate schedules and appointments for school leadership, faculty and staff (as applicable).
  • Responsible for arranging meetings, conferences, and other events, ensuring all logistical details are handled smoothly.
  • Mange school calendars and ensure accurate scheduling of activities and events.
  • Perform other duties as assigned.

Record-Keeping, Management & Documentation:

  • Maintain accurate records and databases related to school record-keeping needs.
  • Prepare reports and presentations as requested by school leadership team.
  • Ensure compliance with relevant regulations and policies regarding record-keeping.
  • Perform other duties as assigned.

Other Support Duties:

  • Administer first aid and other or necessary care in an emergency; to support students.
  • Serve as a substitute in the classroom when no on-call substitutes are available.
  • Support after school enrichment activities i.e., club coordination.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Ability to anticipate potential needs and to the school and provide administrative and coordination support.
  • Proven track record in taking the initiative in making things happen.
  • Strong relationship management skills across all levels within the school and external entities.
  • Excellent phone etiquette, written, presentation and in-person communication skills.
  • Proficiency in Microsoft Word, Excel, Outlook, etc.
  • Strong organizational skills and attention to detail.
  • Reliable, dependable, professional and can maintain confidentiality.
  • Proven ability to work independently and in a team.
  • Excellent interpersonal skills.
  • Positive attitude and team player.

Skills, Qualifications and Experience

  • Bachelor’s degree preferred or equivalent education and experience in a related field.
  • 3+ years’ experience in executive, administrative coordination assistance and support.
  • Previous experience in administrative coordination pr office management, preferably in education setting.
  • Working knowledge of Microsoft Office and education technology.
  • Ability to multi-task, prioritize, and efficiently complete all tasks assigned.
  • Effective communication skills, both oral and written, including the ability to interact/communicate with all types of members of the community including teachers, administrators, parents, and students.
  • Self-starter, ability to set and meet goals, and a desire to excel.
  • Ability to problem solve.
