Scheduling and Registration Specialist - Medical Imaging


This job description is not to be construed as a complete listing of the duties and responsibilities that may be given to any employee. Summary:
This position serves as the primary access point for patients seeking Medical Imaging exams. This position is responsible for collecting, entering, and verification of registration information. In addition, this position is responsible for the effective scheduling of patient appointments in a timely and accurate manner. This position must retain a high level of professionalism at all times

Education Requirement:
High school diploma or equivalent with related course work required. Completion of a clerical or general office program desired.
Experience Requirement:
Candidates must have at least two years of clerical, customer service, or related experience such as medical office experience, or have received technical school training in practice operations.
Key Job Responsibilities:

1. Answers incoming calls to support patients’ needs, as well as making calls as necessary.
2. Completes and verifies registration information for each patient
• Verifies patient identity per protocol
• Verifies address utilizing open ended questions
• When scheduling new patients, is responsible for obtaining necessary information for insurance verification
• Ensures benefit verification process for current service date has been completed.
3. Informs patients of expected co-pays as well as any outstanding balances.
4. Works assigned work queues on a frequent basis throughout the day. Supports encounter prep, eligibility checks, appointments in queue to schedule, reschedule, or no-show follow-up.
5. Backs up referral and prior authorization functions as required
6. Transfers calls to appropriate department of Imaging staff as necessary.
7. Maintains communication with manager/supervisor on a daily basis.
8. Other duties as assigned.


Knowledge/Skills/Abilities:
• Candidates must possess excellent communication skills as well as knowledge of medical practice operations.
• Candidates must possess strong interpersonal skills necessary to function as a liaison between physicians/providers, staff, and patients and family members.
• Able to demonstrate a high level of customer service when working with patients who may call under adverse situations.
• Candidate must possess knowledge of Imaging protocols.
• Candidate must possess an understanding of both governmental and private insurance programs and how this information effects patient appointment scheduling.
• Candidate must be self-motivated and possess critical thinking skills, along with the ability to prioritize and coordinate several tasks simultaneously.
• Candidate must retain a confident, knowledgeable and helpful demeanor even during busy call volumes is essential.

Physical Demands/Conditions:
• The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
• Must have good balance and coordination.
• The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
• The employee is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
• The conditions to which the employee will be subject in this position: The employee is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
