POSITION SUMMARY:
Caregivers by WholeCare has been providing in-home caregiving services for 27 years in the Nashville area. We are seeking an experienced full-time Scheduling/Office Manager to join our team. The qualified candidate will report to the Director of Client & Caregiving Services. If you are an organized, energetic self-starter with excellent interpersonal relationship skills, you will be a tremendous addition to our administrative team. This is an exempt (salaried) position. Previous scheduling experience with a caregiving company or a healthcare provider is mandatory for consideration.
RESPONSIBILITIES:
- Manage the caregiving scheduling system on a daily basis. Familiarity with ClearCare/WellSky is a plus.
- Provide communication of scheduling changes/updates to clients and caregivers.
- Identify and implement scheduling strategies to support business objectives.
- Answer and direct all incoming phone calls.
- Oversee all administrative duties in the office including welcoming office visitors, supply orders, and problem management, as needed.
- Provide insight into caregiver disciplinary issues and positive recognition, including raises and periodic events.
- Provide guidance to the on-call weekend support team as needed (for two weekends per month)
- Provide support for projects related to Human Resources, especially related to data management for the current caregiver roster. (i.e., reviewing files for audit prep, periodic updates for raises, etc.)
- Assist with caregiver recruiting including partnering on current needs and backup support for interviews and orientation.
- Provide other administrative support as needed.
QUALIFICATIONS:
- 1 - 3 years of previous scheduling experience with a caregiving company or a healthcare provider is mandatory.
- Must be a self-starter and driven.
- Excellent communication and interpersonal skills
- Must have exceptional attention to detail.
- Ability to work well under pressure and manage competing priorities.
- Ability to work with minimal supervision and take ownership of duties.
- Strong organizational and time management skills.
- Strong problem-solving skills and analytical abilities.
- Proficient with Microsoft Office.
- Proficient with virtual phone systems.
WORK LOCATION:
On-site in Brentwood, TN (at least 4 days a week)
Job Type: Full-time
Pay: $50,000.00 - $54,000.00 per year
