Samples Coordinator

Position Summary

Leading Intimate and Sleepwear company is seeking a Samples Coordinator. The Samples Coordinator is primarily responsible for managing the Salesman Samples process and timeline for on-time dispatch time. The Sample Coordinator is responsible for ensuring the efficient and accurate handling of Sleepwear & Men’s Underwear product samples, facilitating the sampling process, and supporting the Design team in delivering top-quality products to our clients. This position requires a keen eye for detail, strong communication skills, and the ability to manage a wide variety of tasks simultaneously.

Duties and Responsibilities

· Responsible for ensuring the efficient and accurate handling of Sleepwear & Men’s Underwear product samples, facilitating the sampling process, and supporting design team in delivering top-quality products for our clients.

· Samples Management from sending SMS samples request to factories overseas to receiving and handing off to Design Team.

· Create and maintain Salesman Samples Chart

· Follow up with the vendors and factory for the SMS status daily.

· Set up weekly touch base with vendors and factories overseas for their Salesman Samples status.

· Weekly update status with Head of Sourcing & Production.

· Track SMS Samples dispatch dates.

· Track SMS Samples arrival dates.

· Receiving samples and cross-check to make sure samples quantity received match the original samples quantity requested.

· Set up Hand-off meeting with Design for proper Salesman Samples hand-offs to Design Team.

· Communicate directly with vendors and factories overseas for SMS status.

· Creating Samples tags, taking photos and preparing salesman samples for hand offs to Design Team.

· Creating Samples tags, taking photos and preparing samples for licensor and retailers’ approval under guidance of the Production Managers.

Qualifications

1 – 2 years’ experience in a sample coordinator role

Good written and verbal skills required for effective interpersonal communication.

Proficient ability to review and approve yarn colors (Lab dips) and strike offs.

General computer skills to include Adobe Creative Suite (Illustrator & Photoshop), Microsoft Office, and Acrobat

Strong organizational skills that reflect ability to perform and prioritize multiple tasks and workload seamlessly, with keen attention to detail and follow-up

Ability to work independently and collaboratively with a team under critical time frames.

Self-driven and ability to work in a fast-paced environment.

Job Type: Full-time

Pay: $60,000.00 - $70,000.00 per year
