Position Summary
We are seeking a highly organized and detail-oriented Sales Support Specialist to join our team. The ideal candidate will be responsible for providing comprehensive support to our sales team, ensuring seamless operations and exceptional customer service. This is a full-time position with opportunities for growth within the Sales Team. The Sales Support Specialist will play a crucial role in streamlining sales operations and maximizing productivity. Training will be provided to familiarize the successful candidate with our operations, products, services, and internal processes.
Essential Functions and Responsibilities:
Inbound Communication Triage:
· Assisting with inbound calls and emails while sales representatives are traveling, ensuring prompt responses and resolution. For example, when an office has a question about the application, review and connect with the Onboarding Team for solution if necessary or when an office has an issue with the portal, triage to Portal Team.
· Act as the initial point of contact for customer inquiries, redirecting or addressing them as necessary.
· Prioritize and escalate urgent issues to the appropriate team members when required.
Lead Generation and Profile Management:
· Generate new leads or doctors requested through various channels, including research and outreach.
· Ensuring upon new account setup, the formulary and educational links are promptly dispatched via email.
· Update and maintain Salesforce profiles with relevant data, ensuring consistency and accuracy across the platform. For example, updating addresses, new location(s), or provider(s) information in Salesforce.
· Assisting with lead profiling within Salesforce to identify potential opportunities and optimize sales strategies.
· Utilize available tools and resources to enhance lead profiling strategies and optimize sales efforts.
· Ensure scheduled tasks connections are set and conducted on time for assigned leads/accounts.
Addition Responsibilities:
· Handling pricing requests for off-formulary and commercial products, ensuring accuracy and timely responses.
· Managing projections in Salesforce for products in demand, maintaining accurate and up-to-date data.
· Coordinating with the billing department to obtain invoices for customers via email correspondence.
· Sending webinar information regarding regulatory updates through email communication, some may require direct contact via phone.
· Prospecting when asked for new business may be required.
· Comply with all appropriate company, state, and federal policies, procedures, and regulations.
· Integrate and work with the team, being able to perform the allocated portion of the tasks while managing time effectively.
· Utilizing all available technology resources daily such as CRM Salesforce, Power BI, Modus, Microsoft Teams, Microsoft Office 365, and BrainShark.
· Performs all other related duties as assigned by the Director of Sales.
Qualifications:
· Bachelor’s Degree or 4 years equivalent related experience.
· Previous experience in Sales Support or administrative role preferred.
· Proficiency in Salesforce or similar CRM software is preferred but not required.
· Excellent communication skills, both verbal and written.
· Strong organizational and time management abilities.
· Ability to work effectively in a team environment and independently.
· Attention to detail and accuracy in data entry and management.
· Proficient in all Microsoft Office 365 (Word, Excel, PowerPoint), CRM Salesforce, and Online Audio/Web conferencing platforms (Zoom or Microsoft Teams). Also, possesses strong online research skills.
· Pharmacy Technician certification or similar pharmaceutical/medical training is preferred, but not required.
Skills:
· Knowledge of Bioidentical Hormone Replacement Therapy (BHRT), Weight Loss, and the Anti-Aging industry and Medications. Accurately pronounce medical and pharmaceutical terminology.
· Basic understanding of pharmacy operations.
· Take initiative and be self-motivated.
· Able to adapt to change within a culture of a growing organization and industry. Comfortable on the phone, speak, have a strong phone presence, and assert oneself with a sense of confidence. Able to handle objections and learn to adapt to alternative approaches.
· Aptitude for online research; ability to search, locate, and identify key information.
· Excellent verbal, listening, and written communication skills. Strong interpersonal and communication skills with the ability to develop and maintain business relationships both outside and inside the company.
· Must be detail-oriented and possess a high level of accuracy and follow-up.
· Have good judgment and decision-making ability.
· Ability to direct customers to the appropriate channels for the fastest issue resolution to improve customer satisfaction, while not losing focus on the sales aspect of the company.
· Ability to analyze data and reports.
· Demonstrate teamwork and collaboration while being able to work independently.
Must be able to maintain above-average attendance and punctuality (reliability).
