Retail Sales Associate and Administrative Assistant (Temporary, PT)

This is a temporary, part-time (up to 29 hours/week) position located at our shop in Tyler, Texas.

JOB SUMMARY

The Retail Sales/Administrative Associate provides the first line of contact for incoming phone calls and visitors to the Service Center. This position also offers general office support as needed to volunteers as well as membership, training, program, shop and other staff members. The position is also responsible for managing daily retail operations in the retail shop reporting to the Retail Manager. Work is performed under general supervision with little functional guidance. The associate must demonstrate and promote a climate of courtesy, respect and professionalism to coworkers, volunteers, parents and girls served by this council, and others.


RETAIL ESSENTIAL FUNCTIONS: (
This list may not include all of the duties assigned)

  • Perform all facets of Retail Sales operations utilizing the POS system, including sales, returns, exchanges, gift cards, financial aid and financial reporting within ETRC retail shop.
  • Provides prompt, courteous service to a diverse customer base, including assisting customers with merchandise selections and helping with program needs. This may include, but not limited to, GSUSA and GSNETX merchandise, help with location of Program or event information on the website, help direct questions to the proper department.
  • Remain knowledgeable of council programs, camp offerings, leadership trainings, and geographic membership areas.
  • Ensures accuracy of all facets of Retail Sales operations utilizing the POS system, including sales, returns, exchanges, gift cards, financial aid and financial reporting within assigned retail shop.
  • Ensures accuracy of inventory transfers between retail locations using POS system.
  • Responsible for some ordering, receiving, pricing, stocking, and displaying shop merchandise.
  • Responsible for ordering Council nametags. Ensures that all Intra-Council sales are processed correctly, accurately and withl all required documentation.
  • Assists with training and development plan for assigned shop personnel. Attends council and departmental trainings as needed.
  • Works with Manager to coordinate year-end inventory and cycle counts, as well as planning for inventory at ETRC retail shop.
  • Ensures proper and accurate receipt of money, checks and other types of payments, and prepares bank deposits. May be asked to make timely bank deposits on occasions.
  • Ensures that sales floor and stockroom areas are clean, neat, and organized.
  • Create shop displays when needed, which includes moving fixtures and boxes. Works with Manager to determine best ways to promote Girl Scout season celebrations and in-store promotions.
  • Ensures the maintenance and organization of the shop Volunteer Resource area.
  • Maintains petty cash at assigned location.
  • Works with all departments to ensure that any product distributions in assigned locations are handled properly and accurately. This may include Council Free patch programs, recruitment incentives as well as council patches with requirements programs.
  • Administers the distribution of GSNETX Council Free Patch programs by following assigned process and procedures. Makes sure to run all items through the POS system to maintain correct inventory control.
  • Manage mail and delivery services for ETRC shop to include postal mail, inter-office mail and overnight mail services and delivery shipments, if needed.
  • Works with Manager to submit IssueTraks regarding ETRC shop issues and needs.
  • Supports and participates in area recruitment events, Mobile shops for Annual Meeting, Mall Madness, SASSY Camps, Kick-Off, etc. as needed.
  • May be asked to process incoming forms such as membership, family partnership, etc. according to procedure and receipt money per approved process when necessary.
  • During Summer Hours, helps other departments with specific projects during non-retail shop hours. Assignments are determined by location and need.
  • Management reserves the right to assign or reassign duties and responsibilities to this job at any time.

JOB REQUIREMENTS:

  • High School diploma or equivalent required.
  • Supervisory experience a plus.
  • Strong interpersonal skills with ability to establish effective working relationships with other staff members, visitors, volunteers, and the general public via telephone, email and in person.
  • Ability to inspire, motivate and lead a team.
  • Planning and organizational skills
  • Must be able to work in a fast-paced work environment with ability to multi-task while maintaining composure.
  • Intermediate level of experience with Microsoft Excel, Word, Outlook, and POS systems.
  • Willingness to work a flexible schedule including evenings and weekends.
  • Effective communicator verbally and in writing; bilingual preferred, but not required.
  • Work requires normal physical effort for primarily an office environment; some physical effort in handling of materials or boxes and tools or equipment of up to 25 pounds in non- strenuous work. Some periods of continual standing or walking may be required. Movement of merchandise to and from mobile shop events may be required.
  • Demonstrate and promote a climate of courtesy, respect and professionalism to coworkers, the volunteers served by this council, and others with whom her/his job puts her/him in contact.

  • Must have reliable transportation, hold a valid drivers’ license and meet GSNETX driving record & automobile insurance requirements.
  • Must be able to travel within established geographic areas and council service centers, as necessary.

The employee must be able to drive and have a valid driver’s license. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus. The noise level in the work environment is usually moderate.
