Heron’s Key is a Life Plan retirement campus in the picturesque town of Gig Harbor that offers residents a unique, close-knit community rooted in respect, care, and meaningful engagement. The Activities Coordinator plays an integral role in facilitating special events, activities, and outings for almost 280 Independent Living residents while also supporting co-workers in the provision of life enriching opportunities for individuals residing in Skilled Nursing and Assisted Living. As a member of our 14-person Resident Services team, this individual is a key point of contact for our resident-led framework that provides a solid foundation of collaboration built on trust and respect for each other’s contribution and creativity. This role is critical for our successful implementation of 300+ activity opportunities each month that include small groups, 1:1 interactions, large events, guest presentations, concerts, and outings
To fulfill the role as outlined in the job description, you’ll need experience in event and project management, an insatiable love for details, and a desire to serve alongside older adults who are committed to living a life of meaning, integrity, and joy in the small stuff
Pay - $21-$26 an hour
We offer:

Primary Responsibilities:
  • Plans, organizes, coordinates and partners with Independent Living resident leaders and interest groups for the successful implementation of events and trips that are well-attended and within budget; coordinates with Programs Manager for trips and events jointly scheduled with Penrose Harbor. This may include planning for decorations, guest speakers, room setups, expenditures, and volunteer support.
  • Coordinates trip and event transportation needs with Transportation Department; drives as well as leads on selected trips; calculates off-campus resident trip charges and submits billing information to accounting.
  • Ensures all campus room bookings for in-house events and meetings are coordinated with other departments, for the efficient usage of common spaces. Utilizes multiple calendars within Outlook to ensure accurate communication of room setup, teardown, and catering needs.
  • Under the guidance of the Director of Resident Services, interacts with Communications Specialist for the proper marketing and publication of event and trip announcements utilizing avenues such as the Resident Portal, HKTV, TV Screens, Heron’s Flight newsletters, SlickText, and KeyNotes announcements.
  • In partnership with the Communications Specialist, publishes the monthly resident event calendar for release to all residents and designated family members and marketing prospects,
  • Inputs reoccurring event details into Resident Portal calendar and creates required sign-up sheets within the Portal and Google Docs.
  • Creates and manages Zoom accounts for resident and staff led events and presentations. When necessary, maintains hosting responsibilities for guest speakers.
  • Provides onsite support for resident-led events, including audio-visual setup and troubleshooting.
  • Engages with resident volunteer groups to organize support for Resident Services functions.
  • Completes monthly Visa reconciliation for event and trip expenses; maintains accurate petty cash balance and submits regular reconciliation forms to accounting.
  • Supports the HK resident programming group for the accurate scheduling and implementation of live-streamed and recorded events on HKTV.
  • Maintains historical record of events for future planning.
  • Evaluates and informs theWellness Program Manager on the effectiveness of individual programs and trips.
  • Provides Concierge relief coverage as needed.
  • Provides support to residents and staff during emergency situations in accordance with HK emergency protocols.
  • Informs Director of Resident Services of changes in attending resident behavior, physical abilities and emotional stability as it relates to the safely of residents observed during trips and events.
  • Other duties as assigned and coordinated with the Supervisor
Required Knowledge, Skills and Experience:
  • High school or GED required.
  • Experience in event coordination is preferred (entertainment, weddings, tourism and/or hospitality industry)
  • Previous experience with the older adult population is preferred.
  • Current Washington driver’s license, with a good driving record.
  • Ability to attain first aid training, CPR certification, Food Worker card and MAST (Mandatory Alcohol Server Training) within 30 days of hire.
  • Must have a passion for working with older adults.
  • Ability to develop, plan and organize; demonstrated attention to detail
  • Requires flexibility, varied work schedule and hours for occasional weekends and evenings
  • Exhibit enthusiasm, self-confidence, professionalism, tact and courtesy when interacting with residents, family members and staff.
  • Familiarity with the Microsoft office suite computer programs, including MS Publisher
  • Ability to learn and operate Audio Visual equipment.
  • Ability to drive company vehicles, including 5-person car and 8-person van; operate wheelchair ramp.
  • Must be resourceful, flexible and possess good time management skills.
  • Ability to proofread for accuracy of event details to ensure error-free communication with residents and successful partnership between departments. skills.
  • Current CPR and First Aid Certification and HIV/AIDS training, or the ability to obtain within 30 days of employment.
  • Ability to maintain confidentiality.
  • Requires common sense.

  • Excellent English communications skills both verbal and written.
