ABOUT A.C.T.
American Conservatory Theater is an essential gathering place that brings artists and communities together to inspire and provoke. Under the leadership of Artistic Director Pam MacKinnon and Executive Director Jennifer Bielstein, A.C.T.'s mission is to engage the spirit of the San Francisco Bay Area, activate stories that resonate, promote a diversity of voices and points of view, and empower theater makers and audiences to celebrate liveness. Position Purpose: You serve as one of the first and main points of contact for many artists and performance clients at A.C.T. You lead in the development, sales, strategy, and execution of our Rentals program, ensuring that our Venues (the Toni Rembe Theater and Strand Theater) are made available to a wide variety of clients and community members when available in coordination with A.C.T.'s mainstage and Conservatory programming. This role leading the Rentals program is curatorial and sales oriented.
Responsibilities: (please note, this list is not exhaustive, but rather a representation of job duties)
RENTALS/CURATION
  • Lead the solicitation of commercial and non-profit performance residencies and rentals of the Toni Rembe Theater complex (theater, lobbies, Garret) and Strand complex (Rembe stage, Rueff multipurpose blackbox, lobby); duties include:
    • Identifying leads and cultivating relationships with commercial partners, corporations, outside producers and bookers, local companies, and other potential rental clients
    • Educating prospects on rentals through calls, trainings, and presentations
    • Developing and implementing a sales strategy with input from Marketing, Artistic and General Management to solicit rental clients
  • Act as primary contact for information on resource allocation, timelines and general coordination for rentals, for the client, third party vendors, and A.C.T. departments supporting the event; including but not limited to:
    • Production
    • Audience Services
    • Facilities
    • IT
    • Artistic
    • General and Company Management
    • Marketing
    • Development
  • Maintain deadlines, timelines and specification information for all creative and event rental information.
  • Ensure strong internal communication regarding Rentals, including running weekly event/rentals meetings to ensure all departments are up to date on current client information and projects.
  • Host kick-off meetings with confirmed rental clients and relevant A.C.T. departments.
  • Report regularly on revenue goals, progress, and forecasts.
  • Ensure changes in resources and project scope/requirements are communicated to all members of the project team, and that all members of the team understand the changes.
  • Ensure that client and talent is taken care of, and needs are met during event/rental productions.
  • Manage and coordinate third party vendors as required on a project-by-project basis, such as catering, and event equipment rentals, and/or liaise with third party event production companies in collaboration with A.C.T. Production.
  • Obtains all necessary permits required to hold events/rentals and ensure client insurance documents are current and on file.
  • Be onsite during events and rentals, to support the client, and liaise with and collaborate with all A.C.T. departments to ensure the smooth running of every event.

Qualifications
Required/Minimum Qualifications or Basic Qualifications:

  • 3-5 years of professional work experience;
  • Demonstrated experience in retail and sales
  • Strong written and verbal communication skills, including the ability to interact comfortably with various personalities.
  • Exemplary organization skills, budgeting acumen, and attention to detail.
  • Ability to prioritize, multi-task and take initiative.
  • Excellent computer skills, especially methods of tracking multiple projects and their statuses.
  • A great candidate is a creative people-person who is able to work both independently and collaboratively with other staff members.
  • Ability to maintain confidential information.
  • Some night and weekend work is required.

Knowledge, Skills and Abilities:
  • Demonstrated skill in understanding cultural differences.
  • Ability to cultivate and develop inclusive and equitable working relationships with A.C.T. colleagues and stakeholders.
  • Think creatively about A.C.T.'s various performance spaces and how they might be used by new clients.
  • While not required, a working knowledge of, and experience within, the San Francisco/Bay Area arts sector, public/social services, and/or business marketplace.
  • Knowledge of, or familiarity with, the calendar of national and international conferences across the commercial and artistic industries.
  • Ability to solicit, strategize and nurture new community relationships and potential clients; utilize industry connections and contacts to cultivate new business.
  • Keep and manage schedules for multiple projects, ensuring that all projects are proceeding on schedule and on budget, and communicate effectively and in a timely manner with A.C.T. departments, external and internal clients any change to schedule and budget.
  • Ability to oversee and manage large group processes - ex. large events, conferences, performances, community gatherings - with clear organization, time management and diplomacy.
  • Demonstrated understanding and management of budgets, sales/revenue goals, and how it relates to community impact.
