The
Release of Information Specialist is responsible for daily processing of protected health information disclosures to health care providers, insurance companies, and government agencies including social security, and other entities for the purposes of continuing care, payment and health care operations. Must ensure that every
Release of Information is in compliance with the request, authorization, company policy and federal and multiple state regulatory requirements for a psychiatric setting including Health Insurance Portability and Accountability Act (HIPAA) and accrediting agencies. This position must provide exceptional customer service. Operates under minimal supervision.
Job Duties & Responsibilities:
- Sort prioritize prepare input and respond to all incoming documentation via in person, phone, fax, mail/email for Release of Information (ROI) requests utilizing Health Information Management (HIM) access in Cerner™ within department, state and federal and accrediting regulated time frames.
- Validate whether requests require an authorization from the patient and/or parent/legal guardian or other patient representative.
- Retrieve and prepare paper and/or electronic records for processing.
- Validate each record for correct patient name and dates of requested information.
- Data entry of request into electronic health record. Scan request into patient electronic health record.
- Send records via mail, fax or other methods.
- Answer phone calls and emails regarding status of requests.
- Verbal and written communication with patients, attorneys, law enforcements auditors and insurance companies and state and federal agencies.
- Majority of Release of Information (ROI) requests may require a tight turnaround time.
- Interact with physicians and staff including social service and the utilization review department.
- Provide patient assistance in completing authorizations forms guiding then on the process of ROI and completed their requests with high patient satisfaction.
- Invoice and maintain billing and received checks.
- Process chart audit requests by following department guidelines.
- Process internal insurance appeals requests while keeping open communication with other hospital departments.
- Knowledge of HIPAA and other release regulations or the motivation to learn.
- Obtain guidance from Health Information Manager as needed.
- Monday-Friday 8:00a-4:30p CST. May need to adjust hours to 6:00p CST when coverage is needed for regionals locations.
- Potential hybrid work schedule to be determined by Health Information Leadership.
- Training will be required onsite for your first 90 days.
- Work/Training Location: 1860 Executive Dr. Oconomowoc, WI.

Education/Training Requirements:
- High School Diploma/GED required. Preferred associate degree in healthcare related field, a Registered Health Information Technician (RHIT) and/or Registered Health Information Administrator (RHIA) certification. Two (2) years or more of equivalent experience working in a healthcare environment in lieu of a degree.
- Prior work experience in Release of Information in a physician’s office or Health Information department is a plus.
- Experience navigating health records in a healthcare setting or related records administration, preferably in a psychiatric setting.
- Proficient in using various computer applications, Microsoft Office products, and experience in using the internet.
- Preferred past work experience using Cerner™ or other Electronic Medical Record software
