Position Summary

Our rehabilitation clinic is seeking an experienced and detail-oriented Admissions and Scheduling Coordinator to join our team. As the Admissions and Scheduling Coordinator, you will play a crucial role in ensuring a seamless and efficient process for admitting patients to our clinic and coordinating their therapy schedules. The ideal candidate will have strong organizational and communication skills, as well as a compassionate approach to patient care.

Key Responsibilities:

  1. Patient Admissions:

    • Serve as the initial point of contact for new patients and their families.
    • Collect and verify patient information, insurance details, and necessary documentation for admission.
    • Communicate effectively with referring physicians, case managers, and healthcare providers to facilitate a smooth admission process.
  2. Scheduling:

    • Coordinate and schedule appointments for physical therapy (PT) and occupational therapy (OT) sessions.
    • Collaborate with therapy staff to optimize the utilization of clinic resources and ensure efficient patient flow.
    • Maintain accurate and up-to-date schedules, making adjustments as necessary.
  3. Insurance Verification:

    • Verify insurance coverage and obtain pre-authorizations as needed.
    • Communicate with insurance providers to address any coverage-related inquiries or issues.
  4. Patient Communication:

    • Provide clear and detailed information to patients regarding their appointments, including date, time, and any specific instructions.
    • Address patient inquiries related to scheduling, insurance, and admission processes.
  5. Documentation:

    • Maintain accurate and organized patient records, ensuring compliance with HIPAA regulations.
    • Document all relevant information related to admissions, scheduling, and insurance verification.

Compensation is commensurate with education and experience. Hiring compensation ranges from $15.50- $22.48/hr. This position is eligible for benefits after a 60-day waiting period.


Minimum Education

  • High School Diploma or GED required
 
Experience
  • 3-6 months of prior experience in a medical or office setting preferred

Knowledge, Skills and Abilities
  • Ability to communicate courteously and effectively with the public, patients, family, staff, and physician and acts within the chain of command, utilizing positive verbal and non-verbal skills
  • Ability to demonstrate exceptional customer service to patients, family, staff, and physicians
  • Typing, computer skills, word processing, mathematical skills
  • Must possess excellent written and oral communication skills
  • Must have the ability to coordinate and organize details
  • Personable approach patient’s, family/visitors and surrounding staff
  • Must have the ability to coordinate multiple tasks
 
Physical Demands
  • Manual dexterity and mobility
  • Prolonged, extensive or considerable sitting and at times, standing/walking
  • Bending, squatting, twisting, and turning
  • Near acuity: ability to see clearly at 20 inches or less
 
Working Conditions
  • Exposed to the risk of bloodborne diseases
  • Frequently exposed to hazards from electrical/mechanical/power equipment, odorous chemicals, and specimens and unpleasant elements (accident, injury, slippery surfaces uneven surfaces), etc.
  • Subject to irregular hours (days, evenings, nights, weekends, holidays) and emergencies
  • Continuous sitting > 8 hours per shift
  • Episodes of walking/standing greater than > 4 hours per shift
  • Speaking, reading, and writing > 8 hours per day
  • Infrequently per shift: lift, carry, push, and/or pull > 30 lbs.
  • Frequently per shift: bends, squats, kneels, twists, turns, and reaches
  • Frequently per minute: hand, finger, and wrist repetition and moderate dexterity
  • Frequently per hour: exposed to soft voices > 3 feet away
  • Frequently per hour: exposed to close eye work
