Regional Facilities Manager
ACCOUNTABILITY STATEMENT
The Regional Facilities Manager serves as the primary contact for the Georgia region which includes Metro Atlanta and all regional branch operations, corporate hub facilities, automated teller machine (ATM) buildings and grounds maintenance, as well as supervising the Facilities staff within that regional territory. This position is responsible for the maintenance and management of the regional company vehicle fleet and portable generators. This position is responsible for all mobile deployments within their respective region which includes both mobile ATM's and the Mobile branch. This position maintains the safe and healthy environment of the buildings and grounds by overseeing the upkeep of equipment and supplies, determining and scheduling repairs for renovation projects, and coordinating safety inspections, while ensuring business operations are fully supported and physical assets preserved in all facilities. The Regional Facilities Manager is responsible for coordination and management of all routine and non-routine building and grounds maintenance to ensure all regional sites comply with company standards and state statutes related to lighting requirements, height of landscaping, etc.
The incumbent will manage construction renovation projects of various sizes, including replacement of critical infrastructure and other support building systems. Construction oversight, project management and vendor analysis are required skills needed to perform the duties in addition to the maintenance skill requirements.
The Regional Facilities Manager will oversee the coordination of facility accommodations for company meetings and events, as well as required maintenance for vendor accessibilities. The Regional Facilities Manager will budget and negotiate with outside vendors for supplies, repairs, and other measures competitive bidding through the preparation of RFP specifications, of routine maintenance and service contracts to ensure company specifications are met at a competitive price, with approval from the Assistant Vice President of Facilities.
ESSENTIAL JOB FUNCTIONS:
The Regional Facilities Manager serves as the primary contact for the Georgia region which includes Metro Atlanta and all regional branch operations, corporate hub facilities, automated teller machine (ATM) buildings and grounds maintenance, as well as supervising the Facilities staff within that regional territory.
Incumbent coordinates and oversees routine and non-routine maintenance for all Regional Facilities, ATMs and grounds, including parking lots, exterior lighting, and branch drive-thru lanes. Evaluates, prioritizes, and responds to work order requests and proactively manages preventive maintenance activities and schedules. Coordinates with the Assistant Vice President of Facilities regarding operating and capital budget preparation, cost analyses and service agreements making recommendations as needed to the Assistant Vice President of Facilities. Incumbent serves as a liaison to all regional external vendors providing services at branch, corporate/contact centers, and ATM locations. Schedules, reviews, and monitors all work performed by service vendors to ensure completion per specifications. Develops and maintains effective relationships with employees, business partners, and vendors to facilitate quality service delivery and achieve high customer satisfaction ratings. Incumbent performs ongoing review of all contract services including elevator maintenance, janitorial services, UPS maintenance, HVAC maintenance, grounds maintenance, landscaping services, pond maintenance, generator maintenance, etc. and also makes recommendations to the Assistant Vice President of Facilities. Incumbent reviews, selects, and manages non-routine services with assistance of the Assistant Vice President of Facilities. Responsible for the continuous and strategic review of workflows/processes, vendor performance/costs, and service levels to gain efficiencies in productivity, costs, and service quality.
Incumbent provides construction management in the replacement of critical, infrastructure, and other building systems, including HVAC, electrical distribution, and critical support systems (Uninterruptible Power Supply [UPS], Generators and Liebert units) for branches and regional corporate facilities. Understanding and employment of accepted building practices, materials and techniques, common and general code requirements, ADA requirements, mechanical systems and components, permitting processes and requirements, and lien waivers. Prepare scopes of work, project delivery resource requirements, cost estimates & budgets, work plans, schedules & milestones, quality control, and risk identification. Lead project delivery resources/teams providing project guidance and direction to achieve project goals. Implement communication plan for meetings and written reports/meeting minutes to keep business unit and project resources informed. Facilitate project meetings. Demonstrate ability to identify project risks, lead project reviews, develop risk mitigation and contingency plans, and implement action plans to reduce or eliminate project risks. Demonstrate knowledge of projects and project management within the context of business results (economic implications, business risk, etc.). Assess property conditions, estimate repair and construction costs, track, monitor and manage costs and schedules. Plan annual capital budget for select equipment and infrastructure replacements and facility modifications based on forecasted due dates. Demonstrate understanding of building science concepts related to energy efficiency, building envelope sealing, mechanical systems, insulation, windows, and siding.
Incumbent assists in annual operating and capital budget preparations and is responsible for analysis of monthly and annual budget variances.
Incumbent meets regularly and works closely with Facilities Technicians to review scheduled and unscheduled maintenance projects and serves as on-call point of contact after normal working hours regarding facility emergencies and routine and non-routine building maintenance.
Incumbent may assist with new branch construction projects by managing staff and vendors, coordinating branch openings, etc., or other large projects as directed by the Assistant Vice President of Facilities.
ATM Responsibilities
Incumbent oversees new and existing ATM sites for safety and annually reviews applicable state safety statutes to identify requirement changes, while assisting the Assistant Vice President of Facilities to implement necessary changes at physical ATM sites and to internal procedures. Incumbent coordinates repairs and cleaning of ATM buildings with Facilities Technicians or approved vendors and reviews ATM lease agreements and vendor relationships to ensure proper maintenance of ATMs and surrounding areas. Position serves as on-call point of contact after normal working hours regarding facility damage to ATM buildings.
Incumbent may assist with new ATM construction projects as directed by the Assistant Vice President of Facilities.
Incumbent assists the Assistant Vice President of Facilities by overseeing ATM safety regarding proper lighting and acceptable landscaping per applicable state statute; directs changes as necessary to ensure compliance and maintains records to support compliance.
Incumbent regularly meets and works closely with Facilities Technicians and Facilities Support Technicians to review and manage scheduled and unscheduled maintenance projects.
Security Responsibilities
Incumbent works closely with the Vice President Corporate Security and Safety Department to assist in ensuring that employees, members, visitors, and assets are safe and secure.
Vehicle and Equipment Responsibilities
Incumbent works with the Assistant Vice President of Facilities on company fleet acquisition and maintenance. Responsible for managing standard operating maintenance and security practices for company vehicles and generators to ensure the proper and cost-effective maintenance of the company fleet through a preventive maintenance program. Incumbent must be available on-call for after hour emergencies.

JOB QUALIFICATIONS
EXPERIENCE
A minimum of five (5) years' experience working within the Facility Management or Property Management field is required, including construction management for the replacement of critical, infrastructure and other support building systems and facility renovations. Construction oversight, project management, and vendor analysis are all required skills needed to perform the duties in addition to the maintenance skill requirements.
Incumbent is expected to maintain current knowledge of facilities maintenance and of state statutes within the facilities and ATM field through classes, research and/or seminars. Proven verbal and written communication skills, along with experience in dealing with vendors and/or sales personnel (to coordinate events, negotiate contracts, and complete purchase agreements), are required. Incumbent must be proactive and highly organized. Established critical thinking and problem-solving skills required.
Collaborative and team focused; ability to successfully coach/mentor various experience levels and personality types; ability to plan and manage work under time constraints, and ability to remain on-call 24x7 to respond to facility emergencies. Construction project, building maintenance, or mechanical systems knowledge is required.
Incumbent must possess sound judgment and leadership skills, with the ability to work cooperatively and a foster a team environment. Possesses intermediate skills with MS Office business software. Current Florida or Georgia Driver's License and satisfactory driving record are required.
EDUCATION
A Bachelor's Degree in business, engineering, architectural, or related field is preferred. Professional certification in Facilities or Property Management through BOMA, IFMA or comparable certifications is preferred.
