Job description

Description
  1. Gathers pre-admission information from hospital, patient or family member on scheduled patients before initial and/or follow-up visit.
  2. Facilitates all referrals from CARTI physicians to outside physicians or physician offices including, but not limited to consults, evaluations, radiology and procedures.
  3. Obtains, verifies, and updates patient information and provides support services to patients and medical staff.
  4. Know how to locate path reports, outside medical records, radiology reports and retrieve if necessary for the position.
  5. Contacts the social worker for assistance with patient needs such as lodging, transportation, medication request, or any type of social worker request.
  6. Forwards any medical records requests to centralized medical records department.
  7. Schedule referring and future physician appoints as requested by physician. This includes sending the required records for the referring appointments.
  8. Responsible for communicating to the PSS scheduling teams and the clinical teams of their assigned physician when their referred patient is scheduled and contacted.
  9. Responsible for providing constant professional communication through our online platforms including CareSpace (patient portal) and doctor connect (appointment reminder system).
  10. Reschedule any cancelled appointments making sure all patients have follow up through doctor connect
  11. Responsible for documenting all contact/scheduling attempts in the EMR and Salesforce.
  12. Responsible for closing all salesforce accounts in a timely manner as specified with supervisor.
  13. Maintain daily written or electronic documentation of completed work in order to provide data for monthly reports.
  14. Conducts daily research of expired patient information and updates EMR or billing systems. Notifies physician and medical records if required.
  15. Prepares and processes correspondence. Answers routine medical inquiries and drafts letters.
  16. Serves as the custodian of the front office multifunction device.
  17. Knows how to prepare and mail radiology procedure prep instructions as needed by patient appointment.
  18. Process EMR messages and worklist queues.

OTHER JOB REQUIREMENTS: Travel to satellite centers as required.
EDUCATION, CERTIFICATION, LICENSURE and REGISTRATION:
  1. High school graduate or GED preferred.
  2. Associate degree in business administration or a secretarial program a plus.
  3. Current Valid Arkansas Driver's license.

EXPERIENCE, KNOWLEDGE, SKILLS and ABILITIES:
  1. Minimum of three years of customer service work experience required. Medical office setting skills preferred.
  2. Previous CARTI PSS experience preferred, but not required.
  3. Competent in EMR systems preferred.
  4. Strong knowledge of medical terminology and office procedures.
  5. Excellent computer and other basic office equipment skills.
  6. Knowledge of grammar, spelling and punctuation.
  7. Skilled in time management and organization.
  8. Ability to read, understand and follow oral and written instructions.
  9. Ability to communicate clearly and concisely.
  10. Ability to establish and maintain effective working relationships with patients, team members and the public.

REASONING ABILITY:
  1. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  2. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.

INTERPERSONAL SKILLS:
  1. Must interact and communicate both verbally and in written form.
  2. Must interact and exchange information regarding patients with physicians and other departmental personnel, and outside agencies on a frequent basis while respecting the confidentiality of patient information.
