Job Summary

AKS Engineering and Forestry, LLC (AKS) has an immediate opening for a full-time Recruiting Assistant to support recruiting efforts for our six office locations. This is an in-office position ideal for someone who would thrive in a dynamic, collaborative, team-oriented office in our Tualatin, Oregon location. Ideal Candidate Qualifications:

  • A minimum of 1-2 years professional administrative experience, ideally in a professional services environment or human resources/recruiting department.
  • Proficiency with Microsoft Office including Word, Excel, Outlook, and Teams.
  • Proficiency in using applicant tracking systems, CRM's, recruitment software (e.g., JazzHR), Handshake and other resources preferred.
  • Ability to identify data discrepancies that come from multiple sources, reconcile, and correct as necessary.
  • Strong organizational skills, attention to detail, and ability to handle multiple demands and deadlines simultaneously.
  • Ability to collaborate in a professional and productive manner with all levels of employees with a focus on customer service, both internally and externally.
  • High level of discretion, integrity, and ability to handle confidential information.
  • Excellent interpersonal, networking, communication, and writing skills.
  • Self-motivated, proactive, detail-oriented, and accountable.

Job Functions & Responsibilities: A successful Recruiting Assistant will be comfortable working through existing processes with a keen eye to detail, while also being nimble as we create new efficiencies and structures to support our successful growing company. This role will be responsible for helping to create a seamless candidate and manager experience by supporting the team in a variety of administrative and interpersonal tasks. Responsibilities may include:

  • Support recruiting efforts for the company’s six office locations serving as the primary point of contact for candidates through the interview process.
  • Responsive and efficient scheduling of candidate phone screens and interviews.
  • Complex calendar coordination for virtual and on-site interviews across multiple calendars and locations. Coordinating multi-step interview scheduling with efficiency and accuracy to ensure a smooth, well-supported experience.
  • Assist with resume review, scanning, filing, and processing.
  • Respond to, direct, and triage inquiries via phone and email from candidates and hiring managers.
  • Conduct candidate reference checks in a timely manner, maintaining documentation in multiple sources, and sharing with hiring team to keep recruiting process progressing smoothly.
  • Assist in maintaining database and pipeline of candidates. Monitoring pipeline activity, ensuring data integrity in multiple data points, and sharing updates with internal stakeholders through regular reporting.
  • Update candidate records and job postings in ATS and provide follow-up correspondence accordingly.
  • Post and manage job postings. Ensuring the visibility and attractiveness of postings across various channels including university career portals and job boards. Monitors and analyzes posting effectiveness for continuous improvement.
  • Find, schedule, and coordinate on-campus recruiting events and activities. Including registering for career fairs, speaker events, and other campus hiring events.
  • Coordinate advertising and marketing strategies on campus supporting our brand on campus.
  • Aid in projects crucial to the recruiting team including reporting, document creation, and other administrative support as requested.
  • Work closely with recruiting staff, hiring managers, and candidates to provide a pleasant candidate and hiring manager experience.
  • Collaborate with human resources colleagues and management to optimize staffing processes and the new employee onboarding experience.
