Job Title: Recreation Coordinator, Active Adult & Special Events

Department: Recreation

Job Class: Full-Time, IMRF, Benefits Eligible

Compensation: $17 - $20 an hour DOQ


Job Summary

Under the direction and supervision of the Superintendent of Recreation and Revenue Facilities. The position of Recreation Coordinator, Active Adult & Special Event is responsible for planning, organizing, evaluating, and supervising, parties, classes, and seminars, for the Active Adult population (55 and better), Senior Club, and Special Event Programs.


Work Schedule

The Recreation Coordinator, Active Adult & Special Event position schedule is generally Monday through Friday, with frequent evening and weekend hours as necessary to attend Special Events. It is essential to be regularly available during standard business hours and periodically during all Senior Club hours of operation to meet with staff, vendors, members, and other businesses and government agencies.


Qualifications

  • BA/BS in Parks and Recreation, or related field preferred.
  • Minimum three-five years of demonstrated administrative or supervisory experience.
  • Working knowledge of Microsoft Word, publisher, power point and Excel.
  • Experience using recreation management and/or financial software preferred.
  • First Aid, Adult CPR/AED certification, or the ability to obtain within 6 months.
  • A thorough knowledge and demonstrated ability with program planning for ACTIVE ADULTs preferred.
  • Valid driver's license required.

Essential Duties & Responsibilities

Active Adults

  • Supports supervisory functions within the Active Adults program by approving timecards, ensuring the accuracy of payroll, and partnering with HR and the Superintendent for recruiting, performance management, and disciplinary actions. Mentoring and guiding all staff as needed.
  • Plans, organizes, and implements Active Adult programming, trips, and SPECIAL EVENTS to meet the needs of the Active Adult community.
  • Analyzes data to recommend fee structures, funding opportunities, operational policies, growth targets, and program and service offerings.
  • Organizes and prepares voucher requests and maintains fiscal budget responsibilities for the Senior Fund and Active Adult services of the Recreation budget.
  • Prepares and presents board summaries, monthly reports, and periodic special reports for the assigned programming, to the Superintendent of Recreation & Revenue Facilities.
  • Partners with the Marketing department to prepare accurate and appropriate program and facility information for seasonal brochures and other miscellaneous public information.
  • Prepares and writes content for the Senior Highlights Active Adults newsletter.

Senior Club

  • Coordinates implementation of all Senior events/parties that are partially funded and supported through the Village of Addison Commission. This includes decorating and preparing seating charts and other documents as needed.
  • Assists with the development and direction of the Senior Club membership program, while adhering to the group's mission.
  • Plans and attends senior trips, driving a 14-passenger bus if needed.
  • Orders supplies, such as but not limited to coffee, decorations, bingo prizes, etc.
  • Attends officer and Senior Commission meetings once a month and presents financial data.
  • Utilizes the variety show instructor to plan, organize, and direct the annual Senior Variety Show.
  • Coordinates the Monthly Tuesday Senior Club Meetings.
  • Implements and manages membership database for the Senior Club.
  • Oversees daily activities hosted in the Senior Center, serving its population.
  • Prepares, enters, and maintains, all program codes into RecTrac software.

Special Events

  • Leads the coordination efforts, independently or part of a committee, for all Special Events of the District as assigned. Coordination efforts include, but are not limited to, project planning of the event from start to finish, ordering necessary supplies, setting site maps for all tables, stations, and vendors, within the event, and securing volunteers through local schools and organizations.
  • Works with vendors to secure necessary equipment, rentals, or other items as needed for the events.
  • Evaluates the success of SPECIAL EVENTS and present ideas to leadership for changes in current events, or the creation of new event opportunities.
  • Adheres to all budgeting guidelines for SPECIAL EVENTS by tracking all expenses and revenues and presents to leadership as needed.

Secondary Duties & Responsibilities

  • Ensures accurate financial records for all assigned programming by assisting with the completion of the annual budget, monitoring all expenses and revenue, and recommending changes to program pricing to the superintendent as needed.
  • Receives and processes all invoices and checks from vendors and/or sponsors and submits to accounting.
  • Submits monthly purchase-card report to the Superintendent utilizing software platform.
  • Implements and supervises purchasing in accordance with district policies and procedures maintaining adequate inventory for program operation.
  • Maintains and fosters excellent customer service skills to ensure customer satisfaction and feedback on programming.
  • Promotes, organizes, and stimulates good relationships with the community and other interest groups and with other agencies serving the area.
  • Serve on various district committees.
  • Perform other duties and functions as directed for the optimum success of the Addison Park District Mission to provide quality leisure services for all residents.

  • Employee must be able to work independently in day-to-day operations with the general direction of the Superintendent of Recreation and Revenue Facilities.
  • Employee must have the ability to delegate work, where appropriate, in order to accomplish work most effectively.

  • Employee must be able to work in a team atmosphere while promoting the Park District's Mission statement, vision, and core values.

Environmental & Physical Demands

  • Employee may be required to work both inside and outside during various environmental conditions, such as, but not limited to rain and mud, hot and cold temperatures, exposure to dust, fumes, dirt, and noise.
  • Employee must operate and handle assigned equipment.
  • Employee must have the physical agility to maintain mobility from site to site and be able to perform moderate manual tasks.
  • Employee may perform duties which include, but are not limited to prolonged lifting, standing, stooping, bending, twisting, and climbing for extended periods of time.
