Job description

The Suwanee Police Department is seeking a Records-Evidence Technician to join their CALEA accredited team.

The Records-Evidence Technician position is responsible for maintaining police records, serving the public via walk in traffic, phone, and email. They will be responsible for disseminating police records to the public, other agencies, and court officials. This position requires the Technician to work independently with only occasional instruction or assistance. Accuracy and attention to detail are essential. This position will have significant contact with the public and outside agencies, which requires strong personal interaction skills. Additionally, this position will require assisting the evidence custodian in maintaining the evidence chain of custody.


ESSENTIAL JOB FUNCTIONS

  • Respond to the public, attorneys, insurance companies, and other agencies in accordance with the Open Records Act and as requested by other authorized Federal, State, or Local Court/Police personnel/agencies.
  • Process all Open Records requests to include access to Computer Aided Dispatch reports, records management reports, photos, case file documentation, and uploading audio/video.
  • Prepare correspondence, make copies, file documents, scan documents, download photographs, and perform a variety of other clerical tasks.
  • Greet public and respond to inquiries, direct them to appropriate staff members, answering and directing calls, responding to inquiries from insurance companies, attorneys, and others.
  • Process criminal history requests for the public, non-profits, and businesses.
  • Must become certified through GCIC/NCIC
  • Collect necessary fees, issue receipts, and balance daily cash.
  • Utilize GCIC/NCIC to process record restrictions and expungements ensuring the records management system is updated accordingly.
  • Keep up to date with all GCIC/NCIC standards, Open Records laws, and restriction/expungement laws.
  • Retain and dispose of all police files in accordance with State Records Retention schedule.
  • Serve as evidence custodian; log evidence; ensure proper packing; place evidence in proper location; retrieve evidence for court; testify as to chain of custody; in absence of Evidence Custodian.
  • Perform the technical aspects of collecting, retention and control of various documents and reports held by the department.
  • Work with City Municipal Court in the release of evidence for discovery.
  • Act as the department liaison to the District Attorney and Solicitor Office in providing copies of police reports, video, and other evidence needed for prosecution.
  • Act as the liaison for all courts in maintaining and distribution of subpoenas to officers.
  • Responsible for redacting and disseminating police and accident reports to the public, other agencies, and courts.
  • Perform physical processing of records to include labeling and boxing records for permanent or temporary storage.
  • Maintain Notary license and notarize documents as requested.
  • Provide certification of documents upon request.
  • Performs other related duties as assigned.

MINIMUM QUALIFICATIONS

  • Requires a High School Diploma; and some work-related experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia for the type of vehicle or equipment operated.
  • Must be licensed as a Notary of Public for the State Georgia.
  • Possession of or ability to readily obtain GCIC/NCIC certification.
  • Possession of or ability to readily obtain NIMS certification.
