We are looking for an energetic and enthusiastic team member who will take pride in their work serving our community and fill the role of Assistant Property Manager.

SUMMARY
The Receptionist/Leasing Assistant is responsible for a variety of administrative duties relating to operations of the intake and eligibility function for program applicants; performs receptionist duties for Community Home Partners and provides assistance to the Director of Programs & Compliance.

ESSENTIAL FUNCTIONS OF THE POSITION Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Responsibilities will include the following; however, other duties may be assigned.

· Responsible for answering incoming calls, greeting visitors, and answering questions from residents. Directs residents to appropriate staff member as needed.

· Answering main office (Housing@CHP) email requests for information

· Assisting in keeping tabs on the efax (EFAX@CHP) email to forward return faxes to necessary persons

· Provides excellent customer service through efficient and friendly interactions with others.

· Check HAB status’s of any applicant inquiries

· HAB imports and retrieve new online applications, print and send out to properties

· Assists applicants with completion of appropriate documents. Processes applications including the criminal, employment, and credit check.

· Manually entering paper applications

· Sending initial applicant letters

· Creating and filing applicant files with application and initial letter

· Filing interims and annuals for Section 8

· Schedule applicant, tenant & barred hearings and send out appointment letters

· Update/manage barred list

· Maintain/process disaster relief waiting list

· Composes forms letters and other routine correspondence.

· Assists with bulk mailings

· Sorts and distributes incoming mail and collects and prepares outgoing mail.

· Order office supplies and put them away upon delivery

· Act as a resource to senior staff regarding projects and programs supported by the organization.

· Support business and community partner relationships and resolves conflicts.

· Prepare and presents reports, as directed.

· Attends workshops, seminars, training sessions and certification programs as instructed by the Housing Authority.

· Read and comprehend housing publications and related materials.

· Maintain confidentiality of all clients/residents.

EDUCATION AND/OR EXPERIENCE

Education, Training, and /or Experience:

· High school diploma or graduate equivalency degree (GED) required, graduation from an accredited college or university preferred.

· At least 2 years office support experience involving considerable public contact;

· Or a combination of education, training, and experience equivalent to the above.

· Proficient with Microsoft Office Suite or related software.

License and Special Requirements:

  • Possession of a valid driver’s license.
  • Ability to be covered under the CHP vehicle insurance policy.
  • Ability to be covered under the CHP fidelity bond.
  • Ability to cross-train with other authority employees.

QUALIFICATIONS

Employee demonstrates the ability to complete and/or knowledge of the following:

  • Belief in and passion about serving Rock Island and Quad Cities community with CHP’s mission and values: to support families by providing them with more housing choices and control over where they live and by promoting neighborhood revitalization that uplifts our community.
  • · Good knowledge of CHP purposes, policies, and regulations as established by the Board of Commissioners or as set forth by HUD and Illinois Housing Development Authority (IHDA) regulations.

· Establish and maintain effective working relationships with supervisors, associates, residents, representatives from neighborhoods, community leaders, and federal, state, and local officials.

· The organization and programs of other community agencies and groups that can assist CHP and provide for the health, welfare, educational, and recreational needs of the residents.

· Word processing, filing, telephone etiquette, and other office procedures.

· Perform some basic business math.

· Proficiency in reading and writing the English language, including spelling and grammar.

· Interact courteously and tactfully with the general public and handle disgruntled tenants in a calm and fair manner.

· Proficient in Microsoft Office software.

· Communicate clearly and concisely, both orally and in writing.
