Purpose
We are looking for someone with outstanding customer service, computer skills and a great smile! This individual will be responsible to assist the company in greeting people and directing them to the proper channels personally and through telecommunications. To assist in the smooth operation of the plant through administrative, clerical and analytical support.
Skills/Experience/Requirements
· Post-Secondary Education in Administration or Business.
· A minimum of 2 years administration experience in fast-paced manufacturing office environment preferred.
· Receptionist Certification would be an asset.
· Previous experience or qualification in accounting or finance.
· Experience with an ERP.
· Strong customer service skills.
· Must have excellent computer, organization, time management, interpersonal, and communication skills.
· Must be able to create graphs, tables, queries, reports and analysis in Excel.
Responsibilities
- Reception: Respond to incoming calls, sales representatives, customers, or the public. Receive, sort and distribute incoming mail, prepare out going mail. Ensure all visitors and contractors adhere to company safety policies by signing in and out and providing them with proper PPE if they are going on the production floor.
- Reports: Maintain/provide operations data for production planning/tracking. Create and ensure reports and charts are up to date. Daily Production reporting. Check production data for accuracy.
- Administration: Provide administrative support as required. Maintain office equipment and supplies, as required. Provide data for the weekly and monthly management reports in a timely manner. Compile monthly newsletter. Maintain electronic information boards. Back-up for Executive Assistant for travel arranging. Assist in organization of events such as Employee Service Awards, Appreciation Lunches and Retirement Functions. Data input and extraction using Plex ERP system. Ordering meals and ensuring invoicing is completed properly with all authorizations received. Scheduling appointments and meetings in all boardrooms for Strathroy facilities. Maintain order in meeting rooms at all times, ready to receive visitors. Purchase and prepare coffee, tea, water, etc. as requested for meetings. Maintain contractor master list by requesting necessary documentation from suppliers/contractors.
- Finance: Assist with accounts payable entries. Match receipts to invoices.
- Other responsibilities as required, including special projects as they arise.
