The Rebate Administrator is a key member of the US Advanced Insulation Revenue Growth Management team within the Marketing Department. Working closely with Customer Service, Sales Managers and Financial Business Controllers, this critical role is responsible for ensuring highly accurate management of the commercial aspects of the rebate programs negotiated by and agreed to with customers and partner representatives.
NOTE: This role does not include accounting transactions, such as accruals or GL postings.
Job Responsibilities
The Rebate Administrator role is responsible for managing and improving the rebate process and program, ensuring accurate documentation of all customer incentive program details in the rebate database, and is responsible for timely and accurate calculations and reporting of all customer rebate and incentive programs. This role continuously reviews rebate processes to proactively recommend and implement changes to improve the customer experience and business efficiency.

Specific responsibilities include:
  • Acts as a subject matter expert and resource for entire rebate documentation and approval process. Proactively identifies process improvements to the rebate process and works in partnership with the Sales leadership team to implement changes.
  • Support sales managers and Advanced Insulation business controller in development of rebate incentive programs.
  • Reviews rebate programs entered into rebate database to ensure required internal approvals are received. Responsible for accuracy of rebates entered into the database against the written agreement prior to activation. Ensures financial accruals reported are accurate.
  • Ensures timely and accurate payments and reporting of incentives at the customer level. Build forecast models to predict rebate payments and communicates risks to the business.
  • Complete monthly/quarterly/annual internal/external reporting requirements. Build and maintain good working relationships with external partners, as required. Update customer platforms with sales and rebate information, as required. Responds in a timely fashion to emails and questions regarding customer rebates.
  • Serve as key contributor to implementation and maintenance of ERP rebate system.
  • Approves rebates and activates payment process by sending check request to account for payment. Maintain payment partner records in SAP to ensure rebates are paid to correct customers, including:
    • Manage and execute the Credit Payments Process for rebate payments.
    • Prepare ACH requests for cash payments to program participants, and coordinate with AP group to ensure prompt payment when required.
  • Design and implement improvements to increase efficiency of rebate administration.
  • Maintain a schedule of paid out rebates, rebates on hold, and rebates yet to be paid to give Sales managers an understanding of rebate schedule and possible impact on buying patterns of their customers.
  • Prepare adhoc management rebate reports in support of Revenue Growth Management.
Job Qualifications and Requirements
  • Bachelor’s degree or equivalent work experience
  • Detail oriented with strong math and analysis skills.
  • Intermediate Excel Skills
  • Highly collaborative but also able to work independently.
  • Good interpersonal and time management skills
  • Excellent communication skills, including with customers, sales managers, and financial team members, working as part of our global Rebate team.
  • Ability to learn and work with rebate administration system software (e.g. Vistex)
  • Experience working with an ERP system is preferred (e.g. SAP)
  • Experience working with sales and customer support organizations is preferred.
  • Experience working with sales incentive programs is preferred but not required.
  • Ability to work in hybrid or remote office environment.

The expected compensation range for this role is $64,000.00 -$72,000.00.
The compensation range and benefits for this position are based on a full-time schedule for a full calendar year. The salary will vary depending on your job-related skills, experience, and location. Pay increment and frequency of pay will be in accordance with employment classification and applicable laws. For part time roles, your compensation and benefits will be adjusted to reflect your hours. Benefits may be pro-rated for those who start working during the calendar year.
