- Provide operational and organizational support to Regional Construction & Maintenance Management and other team members.
- Manage vendor setup and maintain current contacts.
- Organize team meetings, develop agendas, manage meeting minutes, and follow up on action items.
- Establish and maintain a standardized filing system for all construction and maintenance documents, ensuring proper upload to project management software.
- Assist in training division employees on relevant software and processes.
- Create and distribute platform-wide communications and updates as needed.
- Manage internal and external communication platforms for the Real Estate Department.
- Collaborate with leadership and regional managers to forecast and track project actuals monthly, providing quarterly reports internally.
- Develop and manage capital planning documents, delivering quarterly updates as required.
- Maintain historical cost data of Construction and Maintenance projects, including new builds and facility maintenance costs.
- Occasionally lead program-level projects across all regions, such as system upgrades, FF&E, or asset replacement.
- Manage vendor relationships, including the creation and distribution of work authorizations and/or proposals.
- Coordinate and track owner-furnished items with the purchasing department.
- Oversee project closeout requirements for completed projects.
- Bachelor’s degree in Construction, Business, or Finance preferred but not required
- High School Diploma or equivalent required
- Basic understanding of commercial design and construction preferred
- Proficiency in Microsoft Excel (pivot and macro required), Adobe, and Microsoft PowerPoint
- Proficient in Microsoft Office 365 and cloud-based document management tools
- Prior experience with Capital Planning and Forecasting strongly desired
- Excellent communication skills with the ability to communicate effectively at the executive level
- Highly organized with a strong attention to detail
