Duties and Responsibilities:
Service Administration & Academic Intervention Programs (75%)
  • *Supports student success, learning and growth by providing quality and proactive support services for students individually, in groups, or via designed interventions (e.g. new student orientation, semester advising approaches, junior level graduation check, etc.) as students matriculate through program, degree, and University requirements. Duties include, but are not limited to:
    • Advising and consulting with students as they navigate the college experience, including providing appropriate levels and timing of advocacy on their behalf by collaborating with divisional staff to support students fulfilling their application requirements for student aid, enrollment, academic course planning, academic concentration declaration, transfer credit evaluations, and institutional billing processes.
    • Advising students in the formulation and clarification of their educational objectives that are compatible with their life/career goals and in planning their educational programs of study.
    • Advising students to ensure their selection of courses fulfills designated degree objective given transfer credit evaluations, and to use online and in-person tools (e.g. STAR) to empower themselves in making progress towards timely degree completion.
    • Communicating University policies about matriculation and academic progress in declared programs of study to students as well as the intent, rationale, and philosophical approach underlying such policies and procedures.
    • Monitoring the academic progress of assigned students to ensure their satisfactory academic progress and continued financial aid eligibility.
    • Directing outreach, phone calls, and emails to students who have dropped out or stopped out of their enrollment and who are approaching achievement levels that may hinder their persistence toward course or degree completion.
    • Designing, executing, and evaluating educational experiences, opportunities, and activities that contribute to students' continued matriculation and persistence towards their educational goals. This may include planning, implementation and evaluation of student success and development courses, workshops, and activities.
  • *Maintains and manages data on assigned students to evaluate the impact of advising services and institutional initiatives to aid students in their persistence towards their educational objectives. Duties include, but are not limited to:
    • Analyzing student data to identify strategies successful to retaining students.
    • Preparing and presenting regular reports to appropriate offices, programs, and staff members demonstrating effective and not so effective approaches and strategies that impact the persistence and graduation rates of students.
    • Summarizing and presenting findings from data analyses impacting persistence and graduation rates.
    • Collaborating with IT and staff members to craft accurate assessments and data collection and data storage methods; and partnering with other University staff and faculty to guide campus retention efforts, plans, and approaches.
  • *Serves as liaison to assigned divisions and faculty members therein to stay current of changes in program requirements and/or curricula in order to convey accurate advising information to students.
Administration Services (15%)
  • Manages and directs assigned services, programs, and operations related to the advising program.
  • Provides leadership & oversight assistance for recruitment, interviewing, selection, advising, training, supervision and evaluation of paraprofessional, intern/practicum, student assistant, and volunteer peer mentor staff involved in advising program.
  • *Exercises budgetary direction and accountability for delegated accounts. Elements of this role include:
    • Regularly reviewing monthly cash, encumbrance and expenditure and other fiscal reports to monitor proper revenue streams and expenditure flows.
    • Reporting budget variances to supervisor and department staff as required.
    • Monitoring all purchasing decisions for areas of responsibility.
    • Facilitating and/or preparing all fiscal paperwork required for budget expenditure and revenue collection according to University policies and procedures.
    • Ensuring fiscal integrity of the advising program by maintaining generally accepted cash handling controls and accounting/auditing standards, and by upholding appropriate internal controls to promote fiscal soundness and accountability.
  • Develops, interprets, implements, and revises, as needed, appropriate policies and procedures governing assigned programs, facilities and services, working closely with others to review and evaluate such policies and procedures.
  • Develops, interprets and updates, as needed, operational manuals for assigned programs, facilities and services in cooperation with others.
Other (10%)
  • Provides management skills and knowledge to include serving in absence of supervisor.
  • Participates via institutional and/or personal membership in various national professional associations appropriate to the position (e.g. National Academic Advising Association, American College Personnel Association, National Association of Student Personnel Administrators, etc.).
  • Serves as a member of divisional and sectional teams, providing direction for projects and activities as appropriate, including, but not limited to staff training & development, student transition & success efforts, and other related projects.
  • Serves and provides leadership on university-wide committees, planning efforts, and programs.
  • Assumes other related duties as assigned. Other duties as assigned.
Minimum Qualifications:
  1. Possession of a baccalaureate degree in education, social sciences, human development, social work, business administration, or related field and 3 years of progressively responsible professional experience with responsibilities for providing educational services or assistance to college students and student groups, including academic advising, career advising, academic success programs, or related work experience; or any equivalent combination of education and/or professional experience which provides the required education, knowledge, skills, and abilities as indicated.
  2. Considerable working knowledge of principles, practices and techniques in the area of academic advising, academic success programs, student support services, or student affairs as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with academic advising, academic success programs, student support services, or student affairs.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
Supplemental Minimum Qualifications:
  1. Considerable knowledge of administrative and organizational processes as applied to the management of operations, services, facilities, and programs.
  2. Demonstrated ability to facilitate groups and conduct presentations.
  3. Demonstrated ability in program development skills, especially in the areas of needs assessment, design, and evaluation.
  4. Ability to interpret and apply legal and policy provisions to situations consistently.
  5. Ability to work outside normally scheduled business hours including evenings, weekends, and/or holidays as necessitated by branch requirements.
  6. Demonstrated ability to work effectively with multicultural populations including first generation college students, non-traditional aged students, and minority students underrepresented in higher education.
