Job Description
Schedule: Mon - Friday (8:00 - 4:30 pm)
Essential Job functions:
• Provides a friendly greeting to Imaging patients on the telephone in a professional caring manner and directs them appropriately.
• PetCT/Nuclear medicine liaison
• Interventional Radiology Scheduling as needed
• Responsible for identifying, coordinating, and obtaining orders prior to scheduling Imaging exams.
• Works as a team member in the Imaging department supporting all team members in achieving a positive work environment.
• Maintains an efficient patient flow through the registration process and provides exceptional, no barrier customer service.
• Proficient knowledge and understanding of insurance.
• Collection of patient co-pays and outstanding balances.
• Responsible for scheduling of other prostate related procedures such as biopsies.
• Responsible for responding promptly to voice mails left after hours and on weekends, returning calls to patients within established time frames.
• Schedules and enters orders for diagnostic imaging exams, following all workflows.
• Understanding of Prostate Imaging Reporting & Data System (PI-RADS) reporting
• Ensure all imaging exams get read in a timely manner.
• Track and monitor all Imaging related follow up tasks as required.
• Act as a liaison between the Radiologists and the staff in communicating required changes or improvements for processes related to the Imaging department.
• Assist referring offices with scheduling appointments or any other concerns as it pertains to Imaging.
• Obtain and upload patient prior imaging exams and reports for comparison purposes.
• Confirm that all patient Imaging results go out in a timely manner to ensure compliance.
• Knowledge of Radiology critical results reporting systems and must communicate the results in a timely manner while following the proper workflow.
• Act as central liaison for any calls from referring offices requiring assistance from the Radiologists.
• Ensure the transmission of result letters to patient portal.
• Preparation and distribution of reminder letters to patients.
• Retrieve pathology results and enter results into RIS.
• Verifies insurance coverage utilizing the on-line system and updates the patient's account. Updates all patient information including demographics, insurance, HIPAA forms and financial waivers.
• Clearly explains the purpose of the imaging test and answers any questions related to it such as the need to fast, food intake, level of discomfort etc.
• Perform patient account upgrades including demographics, health insurance, referring provider and PCP.
• Documents patient interaction in Athena copying appropriate staff.
• Effectively communicates problems, concerns, or issue to the Manager appropriately and promptly.
• Participates in meetings/work groups to ensure communication and knowledge of operational activities and overall customer satisfaction
• Covers for Imaging PSRs and IR schedulers for vacation and absence
General Job functions:
• Demonstrates knowledge and compliance of safety, OSHA, and HIPPA regulations.
• Attends mandatory in-services.
• Other job duties as required.
• Demonstrates flexibility with various work schedules, covers for other staff when asked including other Imaging locations.
• In addition to the duties and responsibilities listed above, all employees are expected to support Summit Healths mission, vision, and values. Comply with policies, procedures and conduct themselves in an ethical, professional, respectful, and collaborative manner always.
Concierge Function:
• The Radiology Concierge provides the same level of service as an Imaging PSR but also provides support and education as required by the patient.
• Works closely with provider offices to help assist with the smooth transfer of patients from outside imaging facilities to Summit Health Imaging department. Provides reassurance to the patient that information transfer is occurring as well as appointment scheduling.
• Facilitates transfer of care from other imaging facilities to Summit Health, by obtaining prior films for the patient, getting consent signed and ensuring that the patient has a Summit Health physician responsible for the results of the Imaging exam.
• Provides patient education materials as requested; Coordinates the availability of patient education materials as well as being familiar with resources available in the community.
• Answers all patient questions related to the patient's Imaging and services provided by Summit Health. Clearly explains the reason for the various imaging services. Helps to coordinate the Imaging journey of the patient across the continuum of care. Helps to refer patients to appropriate departments after Imaging.
• Facilitates communication with the patient's physicians and other members of the interdisciplinary team, other Summit Health departments, and other medical resources needed by the patient outside of the Summit Health system.

Education, Certification, Computer and Training Requirements:
• High School Graduate/GED / Equivalent required.
• 2-4 years of experience within the medical or imaging field required.
• Ability to communicate in English, both orally and in writing required.
• Strong interpersonal and communication skills required.
• Ability to perform diverse work assignments with time limitations with a high degree of accuracy required.
• Ability to use problem solving, critical thinking and priority setting skills required.
• Advanced computer skills including email, excel, Microsoft applications and ability to comprehend and utilize Electronic Medical Record System, RIS and PACS Systems.
