POSITION SUMMARY:
Responsible for assisting Purchasing Department with the purchase requests for supplies and equipment. Prepares purchase orders, keeps track of purchase and supplies, and handles inquiries about orders and manages daily delivery of supplies and equipment for the health center in accordance with established policies and procedures.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Purchasing responsibilities:
- Assigns purchase orders with vendors after verifying vendor is from an approved vendor list
- Confirm receipt of supplies and equipment.
- Places weekly office supply orders
- Liaison between vendor and health center
- Responds to vendor inquiries about clarifying orders, changes in requests, delivery requirements and cancellations.
- Monitors delivery dates and contacts vendor for ETA as needed.
- Assists staff with product and delivery purchases and inquires
- Facilitates returns of supplies and equipment by contacting vendor for RA number and information for return
- Assigns purchase orders for equipment repairs.
- Monitors, collects and matches packing slips for supplies and equipment prior to sending to accounts payable for payment.
- Monitors and maintains inventory supplies in Central Supply.
- Completes other tasks as assigned
Equipment and supply deliveries:
- Receives and logs all incoming packages: vendor name, date received, department and person delivered to.
- Opens all incoming package, and verifies contents and compares to purchase order and packing slips and forwards to manager.
- Inspects and reports and damages or discrepancies to manager.
- Delivers all equipment and packages to appropriate departments and collects signature of person receiving items
- Prepares outgoing supplies and/or equipment for return to vendor for credit, replacement or repair
- Identifies and resolves all receiving discrepancies as they arise
- Assists with inventory control and distribution
- Maintains clean and organized work area
Other Duties:
- Preforms other duties as needed
MINIMUM SKILLS AND KNOWLEDGE REQUIREMENTS:
High School diploma or equivalent required. Associates Degree with general business knowledge and/or related work experience preferred. Excellent judgement needed to establish priorities for the purchase and distribution of equipment and daily incoming supplies via UPS, USPS, Amazon, and FED EX. Must possess good organizational skills, strong communication skills and ability to work with minimal supervision.

WORKING CONDITIONS:
Works in a busy community health center in downtown business district. Interruptions are present and can be disruptive to work flow. Stress is present due to a high volume of work, diversified nature of activities and frequent crises and deadlines.
PHYSICAL REQUIREMENTS:
Works in a busy community health center in and urban neighborhood. Physical demands require walking and lifting packages and equipment (up to 50 lbs.). Walking and/or driving between health center buildings for delivery/distribution of mail, supplies and equipment. Interruptions are present and can be disruptive to work flow. Stress is present due to high volume of work, diversified nature of activities and frequent deadlines. Preforms other employee duties to cover for staff absences. Visual acuity sufficient for frequent reading. Hearing acuity sufficient for holding conversations with or without audio devices.
