JOB DESCRIPTION
The TForce Freight Procurement Services team is looking for an energetic and dynamic Administrative Assistant to perform administrative duties in support of compliance with Procurement policies and processes, as well as perform activities in support of the TForce Freight Mail Services function. The Administrative Assistant will interact with multiple functions within the company, as well as with all job levels. It is estimated that he/she will spend a good portion of his/her time working on compliance reporting or other Procurement-related activities, and an equal or lesser portion of his/her time working on Mail Services-related activities. He/she will need to be flexible to accommodate the completion of both types of work activities. The Procurement Administrative Assistant will report to the respective Commodity Supervisor assigned responsibility over the Mail Services function.
Responsibilities and Duties
- Supports Procurement Services management as required.
- Follow up with internal customers on policy/process compliance issues for corrective action and to promote future compliance.
- Processes incoming mail to the General Office, including sorting of such mail into department-designated bins.
- Processes outgoing mail as required using provided mail equipment.
- Processes incoming express packages and outgoing express packages from the General Office.
- Processes supply deliveries to the building as required.
- Picks up the P.O. Box mail from the Main Street U.S.P.S. Office on a daily basis.
- Maintains accurate records as required for mail activity.
- Distributes paper within the General Office as requested for printing/copying purposes.
- Maintains the Mailroom and dock area in a safe, neat, clean, and orderly manner at all times.
- Issues temporary badges to any vendors needing to enter the building from the loading dock area, and maintains tracking of such issuances.
- Processes all work in a timely manner.
Knowledge and Skills
- Ability to lift, push, or pull packages weighing up to 50 pounds.
- Ability to utilize a hand truck or cart safely to move packages as required.
- Must have a valid current driver’s license.
- Outstanding time management skills with the ability to meet deadlines and provide feedback on progress.
- Highly organized and motivated with positive attitude.
- Strong attention to detail and must be able to prioritize multiple ongoing projects and assignments, again balancing the two types of work...Procurement & Mail Services.
- Ability to interact with all levels of management in a professional manner.
- Excellent written and oral communication skills.
- Working knowledge of MS Office (Excel, Word, PowerPoint, etc.)
- Bachelor Degree or (internationally comparable degree) - Preferred
