Purchaser / Operations Assistant

***3 years’ experience is needed / as well as consumer product, manufacturing, haircare or cosmetic industry is a must***

Cosmetic company is seeking a Purchaser / Operations Assistant for our fast-growing beauty brand. We are going with that small company dynamics still present. This position will report to our Production Manager. This job description does not state or imply that the duties listed are the only duties and responsibilities assigned to this position. Employees holding this position will be required to perform any other job-related duties as requested by management.

Responsibilities/Skills Required:

· A primary responsibility of the Operations Assistant is to manage inventory, manage supply sources, and to trigger the purchase of materials and services to support manufacturing and anticipated demand.

· The ability to identify and solve problems independently, and the ability to collaborate with cross-functional staff.

· Communicates inabilities to meet desired production targets and identifies solutions to correct the plan

· Strong analytical skills: able to work with large data extracts, creating formats and formulas to obtain data based next-step solutions.

· Computer literate: proficient in Outlook, Word, ERP systems and Excel (ex: able to use filters, pivot tables and V-lookups to efficiently analyze and manipulate spreadsheet data)

· Strong Mathematical skills combined with exceptional problem solving and analytical skills.

· Must be able to set priorities and demonstrate a high organizational level in an environment of ever-changing needs.

· Prepare and release production orders and monitor each order to be completed on time.

· Able to manage desired inventory levels of packaging/ingredients to support production schedules.

· Able to initiate purchase orders to replenish inventories.

· Will work with Accounts Payable to reconcile and approve receipts.

· Knowledgeable of item set up and maintenance including product bill of material (BOM) to ensure quality and accurate vendor pricing.

· Knowledgeable of evaluating sales projections, demand forecasts and historical data to create production plans.

· Provide support to the Operations team (Warehouse, Logistics, Purchasing, Production, New Product Development) as requested or needed. Could include tracking new product or customer launches, ensuing existing items are planned correctly/accurately, and/or communicating with internal staff of key initiatives. Could include forecasting responsibility, forecasting analytics, and/or communication with internal staff of key initiatives.

· Work-cross functionally with Marketing, Design and Operations teams to ensure alignment on timeliness for new product launches along with mitigation of issues with core components.

· Monitor and manage the availability of materials and work directly with sub-component suppliers (if necessary) to ensure on time delivery and the de-risking upstream of finished goods production.

Education and Experience and Knowledge

· Experience working with an ERP system, prefer but not essential - Sage Pro 200 ERP (formerly ACCPAC Pro Series or Oracle, SAP, Microsoft Dynamics)

· Intermediate to Advanced Excel Skills - required

· Experience with Domestic and International Freight forwarding and inbound logistics

· Ability to thrive in a fast-paced environment

· Exceptional verbal and written communication skills in an office environment

· Strong attention to detail

· Able to multitask, prioritize, and manage time efficiently
