Job Summary
The Publications Coordinator facilitates coordinating, developing, and producing our organization's industry publications. This position is responsible for documenting standards committee activities and ballots, maintaining standards committee membership rosters, advising on the previously established committee and American National Standards Institute (ANSI) procedures, and providing administrative coordination for the committee’s annual meetings. The Publications Coordinator also manages publication vendors, coordinates contributors and authors, tracks inventory, develops and adheres to budgets, and responds to copyright requests.

Responsibilities & Duties
The following highlights, but does not limit, specific responsibilities and duties of the Publications Coordinator:
Coordinates with authors and contributors through the publications development process
Coordinate and schedule standards committee meetings
Facilitate ballots for membership, standards, procedures, and other committee actions
Update committee procedures to conform to ANSI's Essential Requirements
Document official activities and ballots in preparation for ANSI audits
Provide administrative coordination of committee annual meetings, including preparing the agenda, collecting subcommittee chair reports, preparing the presentation, tracking member participation, providing recommendations for actions on membership, appointing officers and voting in new members, following through on meeting action items, managing the pre-approved budget, and other administrative tasks as needed.
Advise committee members on conformance to established conventions and procedures
Collaborate with committee chairs as necessary
Collect committee consensus body membership applications
Maintain the committee membership roster
Coordinate communications with ANSI, including audits, submitting standards document drafts for approval, and requesting Project Initiation Notifications.
Enacting public review periods for standards drafts
Track and coordinate standards development timelines
Provide customer support to the committee website users
Respond to and track requests for clarification or interpretation of standards
Register approved standards with the U.S. Copyright Office
Format and proof publications before print/publication
Manage reseller relationships, including communication and coordination of publication updates
Maintain inventory of publications
Manage publication vendors, including print quotes, reviewing gallery proofs, and coordinating and receiving publication vendor deliveries.
Prepare the annual publications budget.
Review and approve copyright requests.
Required Qualifications & Skills
Strong organizational skills and attention to detail
Excellent communication skills, both written and verbal
Proficiency with Microsoft Office Suite and Adobe Acrobat
Ability to work independently and collaboratively in a team environment
Capability to successfully manage multiple projects and priorities simultaneously
Strong problem-solving skills and ability to adapt to changing priorities and deadlines
Preferred Experience
Experience with administering standard operating procedures
Minimum of 2-3 years of experience in publication coordination or a related field
Bachelor's degree in a related field, such as English, Communications, or Business Administration
Physical Demands
This job may require occasional lifting up to 25 pounds and sitting or standing for extended periods. It may also require occasional travel to attend committee meetings, training, or conferences.
