The Division of Management Services, Bureau of Records Management is recruiting to fill a Public Records & Records Compliance Specialist (Records/Forms Management Specialist Advanced) vacancy located at 3099 E. Washington Ave., Madison, WI.
NOTE: This position is eligible to work remotely up to 3 days per week.

Position Summary
This position administers the department-wide Public Records program, providing ongoing consultation to all department legal custodians, deputy custodians and assistants, representing the DOC on records issues, and developing policy and procedure for the Public Records program. Responsibilities include resolving Public Records request problems and providing training to legal custodians to ensure they are complying with laws, policies, and procedures.
The secondary role for this position is as the Records Compliance manager and serves as the Records Officer and is responsible for ensuring that the Department meets all state, federal and Department requirements and regulations regarding records management. Responsibilities include performing the following: records analysis, develop record retention policies and Retention/Disposition Authorizations (RDA), represent the Department at State Public Records Board Meetings, manage retention, storage and destruction of all DOC records, assist with coordinating and managing State Records Center-related activities for off-site storage of inactive Department records, and serve as the liaison to the State Records Center and Wisconsin Historical Society.
Salary Information
The starting pay is between $54,787 and $90,396 per year, plus excellent benefits. Pay on appointment may vary according to the applicable pay transaction provisions of the Compensation Plan and Wisconsin Administrative Code. The pay schedule/range is 07-03. A 12-month probationary period is be required.
Job Details
Applicants must be legally entitled to work in the United States (i.e., a citizen or national of the U.S., a lawful permanent resident, an alien authorized to work in the U.S. without DOC sponsorship) at the time of application. The Department of Corrections will conduct criminal background checks on applicants prior to selection to determine whether the circumstances of any conviction may be related to the job being filled. Upon hire, all new DOC employees are subject to fingerprinting.
The Department of Corrections may conduct pre-employment drug screens. Any applicant who is offered employment in a position which requires a pre-employment drug screen must pass the screen as a contingency to employment. Applicants who fail or refuse the drug screen will not be given further consideration for employment.
Qualifications
Minimally qualified applicants will have experience:

  • Managing a records program (e.g. analyzing program needs, reviewing and analyzing records, storage and destruction of records, etc.).
  • Providing technical assistance and consultation on records related issues (e.g. records retention, management, access, etc.).
  • Developing, implementing, and training on policies and procedures.
In addition to the above, well qualified applicants will have experience:
  • Working with Wisconsin Public Records laws, policies, and procedures.
