Position Summary
The Medical Assistant Supervisor oversees the daily patient care and coordination of activities that are delivered by teams of medical assistants and health care assistants who support multiple pediatric subspecialty clinics. The Medical Assistant Supervisor supervises employees and processes by coordinating and overseeing work assignments; trains and mentors clinical support staff; provides feedback on performance and completes performance evaluations; ensures relevant policies and procedures are implemented; participates in the interview and hiring process; and assesses, develops, and provides training for new and existing employees. In addition to supervisory responsibilities, the Medical Assistant Supervisor acts as the primary 'go to' person for team leads, functions as a Medical Assistant on the clinic floor while providing ongoing support for all assigned clinical staff, and participates in clinic customer service and quality improvement initiatives. This position is part of the operations team responsible for pediatric ambulatory clinic services. The Supervisor works closely with Department of Pediatrics Management and reports to the Outpatient Clinic Manager.
The ambulatory group in the Department consists of 11 pediatric subspecialty divisions and service lines that practice primarily at Eccles Primary Children's Outpatient Services building (PCOS), Primary Children's Hospital (PCH) Riverton, PCH Layton, and some satellite clinics. The pediatric ambulatory clinics at PCH operate in clinic space that is leased from PCH and used in conjunction with PCH and other University and community pediatric providers.
Job location is at the Intermountain Primary Children's Hospital Miller Campus, located at 2250 North Miller Campus Drive, Lehi, UT 84043.

Responsibilities
Essential Functions
  1. Coordinates the work of clinical medical assistants and health care assistants to align with department mission, goals, and strategies.
  2. Supervises and coordinates the daily patient care and patient care coordination activities delivered by teams of medical assistants and health care assistants that support pediatric subspecialty clinics. Monitors workloads and makes adjustments as needed. Ensures adherence to pediatric subspecialty protocols in assigned areas. Advocates for efficient clinic workflow which includes patient or visit flow coordination, daily schedule review, and routine huddles with teams.
  3. Functions as a Medical Assistant III on the clinic floor, performing the essential functions outlined in the Medical Assistant job description.
  4. Assists with interviews, hiring of staff, and training of new and existing staff. Oversees professional development of the clinic medical assistant and health care assistant staff. Provides feedback on staff performance, assists in staff evaluations, and conducts individual monthly performance reviews. Enforces the written standards of practice, policies, and procedures; initiates corrective action as necessary.
  5. Regularly shadows, mentors, and provides feedback to each team member.
  6. Organizes and conducts regular team meetings. Ensures that staff are kept up to date on information and/or changes that are pertinent to their positions, assigned clinical areas, and/or employment.
  7. Help develop division specific competencies and training. Ensures adherence to subspecialty protocols in assigned areas.
  8. Generates the monthly Medical Assistant/Health Care Assistant work schedule. Monitors and approves time in Kronos. Approves or denies leave requests depending on clinic coverage and operational needs. Accurately reports time and attendance for each team member and escalates time and attendance concerns to the Outpatient Clinic Manager.
  9. Resolves problems and responds to complaints within scope of authority. Keeps Clinic Manager apprised of reported and potential problems.
  10. Provide cross supervisory coverage to other clinical teams when needed.
  11. Participates in clinic customer service improvement initiatives and quality improvement initiatives.
  12. Acts as a super user and trainer for the department EMR systems (iCentra, Epic, Help 2, MyHealth, USIIS)

Minimum Qualifications
Required
  • Current RQI Healthcare Provider eCredential through the University of Utah Health RQI system. The eCredential is to be obtained within 30 days of hire.
  • One of the following
    • Current ABO certification through the American Board of Opticianry.
    • Current certification as a National Certified Medical Assistant (NCMA) through NCCT.
    • Current certification as an NRCMA - Medical Assistant through the National Association for Health Professionals.
    • Current certification as a Certified Medical Assistant (CMA) through AAMA
    • Current Clinical Medical Assistant Certification through NHA.
    • Current certification to practice as a Paramedic in the State of Utah.
    • JCAHPO certification as an Ophthalmic Technician (COT).
    • JCAHPO certification as an Ophthalmic Assistant (COA).
    • Current Advanced EMT certification with the State of Utah.
    • Current certification as a Registered Medical Assistant (RMA) through AMT
  • Three years of related experience that is consistent with the certification or license held or equivalency (one year of education can be substituted for two years of related work experience).

Preferred
  • Previous supervisory experience.
  • Demonstrated proficiency in computer programs and electronic medical records (iCentra, Epic, Microsoft Office, and Outlook).
  • Experience in scheduling and distributing staff in a clinic setting.
  • Experience in training and mentoring clinical staff.

Working Conditions and Physical Demands
Employee must be able to meet the following requirements with or without accommodation.
  • This position involves intermediate working conditions in a healthcare setting that may exert up to 50 pounds and may consistently require lifting, carrying, pushing, pulling, or otherwise moving patients or objects, such as medical equipment while providing patient care. Workers in this position may be exposed to infectious diseases and may be required to function around prisoners or behavioral health patients.
