WithersRavenel has a Project Coordinator II opportunity available with our Utilities practice area in Wilmington. This HYBRID work position allows you to work from home, from the office, or a little of both! Come work with our team of employee owners that take great pride and enjoyment in what they do.
Project Coordinators assist Project Managers (PM's), Assistant Project Managers, Department Heads and technical personnel in the systematic and consistent facilitation of project deliverables, milestones, and permitting. These responsibilities include assisting in the communication and management of resources and clients, coordination, understanding and communication of Company, Department and Regulatory processes, procedures, and standards, promoting Company culture and core values and contributing to a positive and collaborative working environment with everyone involved in the project.
Duties and Responsibilities
Project and Client Management

  • Assist PM's, Assistant PM's, Department Heads, and technical staff in the implementation and management of projects and organization and collaboration of clients and projects.
  • Assist in coordinating project courier needs with Administration.
  • Coordinate the preparation of deliverables such as copying and binding with project leaders.
  • Keep PM abreast of project and permitting progress.
  • Schedule, participate in, and document project and team meetings as directed.
  • Represent our Company in communications with clients per PM direction.
  • Coordinate with the marketing team for the preparation of proposals.
  • Assist project leaders with tracking projections, schedules, and project financials to ensure adherence to deadlines and budgets.
  • Communicate regularly with PM about permitting progress, significant challenges, deviations from schedules, or incidents that occur on projects.
  • Assist PMs with documenting project meeting minutes and capturing project progress and action items.
  • Generate and track funding reimbursement forms and submit to Client (public only).
  • Track, file, and pay for funding related advertisements (public only).
  • Generate funding review records (Environmental) (public only).

Technical
  • Generate and review letters, emails, and other correspondence prepared by the technical team.
  • Perform due diligence research including property research and assist with other due diligence tasks and deliverables.
  • Assist in entitlement processes including zoning, special uses, and annexation.
  • Assist in platting processes with Geomatics Department.
  • Assist the PM with project information in Enterprise Resource Planning program, including project write-ups for marketing purposes.
  • Assist with and facilitate permitting and associated submittals including NCDOT; and Railroad Encroachment Permits, water and sewer permits, grading permits, and ancillary permits.
  • Assist with generation and submittal of opinion of cost per Municipal requirements.
  • Responsible for coordination and communication of technical aspects regarding permitting and regulatory requirements if requested by the PM.
  • Assist in analyzing technical problems, devising new or improved techniques, approaches, and alternative solutions to project processes and SOPs, including project scheduling, and permitting.
  • Provide quality control/quality assurance consistent with Company and Department standards and the requirements of our clients and regulatory agencies.
  • Utilize Company's current technology as much as practical to facilitate projects.
  • Execute administrative tasks as directed by the Department and Company.
  • Track project QC needs as well as perform a general QC of professional documents.

Client and Business Development
  • Assist in the cultivation of existing personal business relationships including periodic client meetings and coordinating with management staff.
  • Seek opportunities to enhance and expand our existing client relationships during and after projects.
  • Coordinate and process Client Feedback Surveys including response follow-up.

Requirements
Required:
  • Associate degree, Bachelor's degree preferred
  • 4+ years of engineering, regulatory, and/or administration experience
  • Self-motivated, engaged, and team-oriented
  • Basic knowledge of contracts and permitting requirements
  • Execute multiple tasks under tight deadlines and prioritize responsibilities
  • Excellent attention to detail
  • Excellent oral and written communication skills
  • Demonstrate personal investment in your career
  • Energetic, flexible, confident, and forward thinking

Preferred:
  • Technical certificates or equivalent experience
  • Experience in Microsoft Office applications
  • Experience with Smartsheet

Working Conditions
The assignment may require infrequent evening/weekend work. Candidates should enjoy working in a collaborative, fast-paced, and client-driven environment.
Physical Requirements
The assignment may occasionally require repetitive physical tasks (such as operating a computer), standing and/or sitting for extended periods of time, extended travel time in a vehicle, and carrying equipment and materials up to 25 pounds.
