Project Accountant

Hunter-Davisson, Inc. has been serving businesses in Oregon and SW Washington since 1965 and became Employee Owned in 2020.  Our brand and reputation for providing quality HVAC and refrigeration service, preventative maintenance and installations in the commercial market has led to our continued success.  The Project Accountant is responsible for performing various job and project accounting functions vital to the success of the Business Department within Hunter-Davisson.

 DUTIES / RESPONSIBILITIES
  • Import Sheet Metal Fabrication costs to jobs.
  • Add phase codes and cost types to projects as requested.
  • Respond to all lien waiver requests.
  • Update and reconcile work in process spreadsheet to GL.
  • Prepare job billings and all related paperwork on appropriate bill days (15, 20, 25, 30, EOM).
  • Soft close final billed jobs in Viewpoint.
  • Hard close jobs in Viewpoint as directed by Project Managers during job billing process.
  • Ensure all appropriate documentation for job billings are notarized as requested.
  • Collect and submit vendor lien waivers as directed by GC requirements on jobs.
  • Create the next month’s schedule of values (SOVs) on the J drive.
  • Review job payment log for accuracy.
  • Process, scan, rename hard closed job files to the KB.
  • Attach checklist label to all job folders turned in – check in VP if job is hard closed (if not, keep until it is)   
  • Complete the checklist
  • Distribute hard closed folders to the appropriate salesperson  - the salesperson will review and return 
  • Sort the job folder papers according to the file structure (in the same order)
  • Scan the entire contents to the F drive
  • Rename the file and drag to the KB – Add the job card stamp the job folder
  • Scanned and file in back cabinets (destroy after 4 years)
  • Upload invoices to third party payments sites.
  • Request Certificates of Insurance for jobs, as needed.
  • Maintain tax-exempt certificates.
  • Apply costs to jobs manually.
  • Job cost warranty work orders.
  • Cancel jobs as necessary.
  • File notice of right to lien with BMDA for appropriate jobs.
  • Assist with specially assigned projects as requested.
  • Attend all company, office and department meetings.
  • Attend applicable seminars and webinars to further education/skills.

 

QUALIFICATIONS:
  • Knowledge in job billing and/or project accounting. 
  • Proficient verbal and written communication skills.
  • Excellent attention to detail, time management, project management, and organizational skills.
  • Proficient in Microsoft Office products: Outlook, Word and Excel.
  • Knowledge in the HVAC and/or construction industry a plus, but not required.
  • Knowledge in Viewpoint and/or QuickBooks software a plus, but not required.
