POSITION: Brooker Community Counseling Center Program Secretary

POSITION SUMMARY: As a valued member of the staff team, the Community Services Secretary is responsible for enhancing the client’s smooth entrance into treatment and complementing the various treatment efforts of the clinical staff.

SPECIFIC RESPONSIBILITIES include, but are not limited to:

1. Greet clients and family members, answer phone calls, ensure that all visitors sign in upon arrival for a meeting with residential clients, and contact the residential department when a residential visitor arrives.

2. Initially screen children, adolescents, and/or other significant persons and families by telephone or face-to-face contact. Ensure appropriate completion of data entry on intake sheet, consent and release forms, etc. for all phone referrals.

3. Determine, with supervisory input, client’s appropriateness for services and whether situation is crisis or non-crisis. If not appropriate for Community Services, refer to appropriate agency or private clinician.

4. As referrals come in, cross reference therapists’ schedules in the EHR in order to set up a time for new client to come in for initial intake session, also known as central scheduling. Additionally, assist with rescheduling client appointments upon request.

5. Complete opening paperwork forms, including review with the custodian of financial responsibility, permission to treat child, releases of information, client rights, and grievance procedures for initial clients during intake process as well as forwarding financial information (including copies of Medicaid and /or other insurance cards) and payment agreement information to Staff Accountant.

**Note: Inform therapist or supervisor of any problems with finances or refusal to sign any forms.

6. Send release of information forms to appropriate agencies. Send out requested information to other agencies after checking to see if release has been signed.

7. Create a new client chart in the EHR and input initial information on intake sheet as well as assist therapists in uploading or managing any related forms in the EHR upon request.

8. Take minutes of work-related meetings upon request.

9. Attend supervisory conferences as established with the supervisor.

10. Utilize the EHR to compile monthly statistics for the BCCC Program upon request. This may include a report on case loads by therapist, reports on missing documentation, errors in billing, etc… Participate in the development of new forms and reports in the EHR as requested.

11. Utilize the EHR to maintain files on monthly openings, closings and re-admissions. Maintain lists of monthly referrals, referral source, and other pertinent information.

12. Order and maintain office supplies for BCCC.

13. Assist other secretaries in agency as assigned.

14. Assume additional responsibilities assigned by the supervisor or executive director as needed.

Job Type: Part-time

Pay: $16.00 - $19.00 per hour

Expected hours: 20 per week

Schedule:

  • Monday to Friday

  • Springfield, OH 45503: Relocate before starting work (Required)
