Procedure Scheduler
Job Summary: A Procedure Scheduler provides administrative support for the physicians and ensures smooth operation of the clinic. The primary focus of this role is effective high volume schedule management, and will include scheduling procedures, surgeries, or follow up care as directed by the providers. The Procedure Scheduler follows Madison Medical specific standards of practice, policies and procedures. This full time position reports to the Clinic Supervisor/Assistant Director of Clinic Operations, is within the Gastroenterology department, and is located in Mequon, WI.
What You'll Do:
- Schedule patient appointments timely and manage physician's schedule according to their preferences, perform reminder calls.
- Schedule patient surgeries or procedures timely and coordinates with OR, or GI lab according to provider preferences. Reschedule cases as needed based on medical urgency or priority.
- Documents work appropriately and accurately within the EHR.
- Answers the telephone, screens calls and takes messages from patients and processes as directed by MD.
- Educates patients on pre-procedure requirements according to Provider preference.
- Verifies insurance and ensures registration and payer information is correct and current.
- Monitors and corrects registration errors, uses insurance websites when needed to confirm patient eligibility.
- Obtain prior authorizations using web based applications or via phone.
- Assists patient in scheduling any follow up testing (radiology, lab, or specialist)
- Prepares correspondence to physicians and patients.
- Ensures the timely and accurate scanning of documents into EHR.
- May perform all duties for one assigned provider individually with minimal support from others in the department
Key Qualifications & Characteristics
- High School Diploma or GED
- Strong data entry skills and ability to work with computer applications
- Organized with a strong attention to detail in a fast paced environment
- Strong and comfortable communicating with patients, peers, and physicians
- Demonstrated ability to work well both independently and with co-workers in a team
- Demonstrated ability to work with confidential information.
- One year of experience working in a medical environment including an understanding of medical terminology and the medical insurance process preferred, but willing to train
