Essential Job Duties:

The Principal Gifts Specialist provides critical support for the Principal Gifts team and works closely with the Assistant Vice Chancellor and other team members to increase and strengthen relationships with donors and campus colleagues. As a key team member, he/she works independently to manage and coordinate all aspects of the duties required which includes finances, travel, reporting, events, communication, and scheduling for the Principal Gifts team. The ability to organize and prioritize workflows effectively is critical, as is the ability to develop detailed schedules, plans, status reports and track key project milestones to meet the varying needs of the Principal Gifts Team.
Duties include but are not limited to:

  • Maintain schedules, calendars and meeting agenda management for the Principal Gifts team, including scheduling meetings and prospect appointments for the Assistant Vice Chancellor.
  • Proactively generate, review, and distribute reports to the team as needed, specifically information related to prospects and donors, tracking contacts, gathering information and assembling informational packets.
  • Manage all aspects of the gift agreement and gift processing processes.
  • Facilitate communication with various constituencies including prospects, donors and volunteers.
  • Assist in event planning and event management related to unit events.
  • Oversee and/or coordinate with colleagues across campus on events, group meetings and programmatic projects.
  • Assist in day-to-day operations of the Principal Gifts Office which includes answering telephones and managing requests from donors and prospects.
  • Manage p-card and travel of all Principal Gifts team staff.
  • Order and maintain office supplies. Make independent budgetary recommendations for services and supplies.
  • Assist staff with technical and computing issues. Serve as office point-person for any database, computer, printer, copier, fax, or phone-related issues or activities.
Other Responsibilities:
  • Work with other divisional administrative support staff to provide coverage for units where needed and as requested.
  • Support the staff of the Principal Gifts team and other members of the Advancement with special projects as needed.
  • Work collaboratively with the Principal Gifts team and all other colleagues as necessary
  • Attend meetings and other events as necessary.
  • Maintain an up-to-date file system of physical and database files.
  • Perform other duties as assigned.
Minimum Experience/Education:

Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications:
  • Strong interpersonal skills with a keen sense of judgment and timing.
  • Knowledge of the advancement/development profession.
  • Proficient computing skills including experience with Microsoft Office Suite, Gmail calendaring, and Google Docs/Google Drive, including Advance database management and reporting (or similar software).
  • The capacity to consistently demonstrate a high degree of professionalism and confidentiality to interact effectively with varied audiences, including alumni, donors, university administration, staff, faculty and the public.
  • Strong accounting and budgeting skills, including ability to gather and analyze budget data.
  • Event planning experience; working with vendors and external/internal audiences.
  • Ability to multitask, focus and effectively manage competing priorities.
  • Strong organizational and time management skills.
  • Strong verbal and written communication skills.
  • Demonstrated commitment to outstanding customer service.
  • Goal-oriented self-starter with high attention to detail and discipline to regularly set and exceed work goals.
  • Ability to work both independently and as part of a team.
  • Perpetuate a creative, imaginative, and entrepreneurial spirit.

Preferred Qualifications:
  • Experience working in fundraising for a complex non-profit organization, preferably in a higher education setting.
  • Knowledge of NC State, its culture, mission, structure, and donors.
  • Related work experience in an administrative capacity.
  • Experience in charitable gift fund raising, or a substantially related field in higher education.
Required License or Certification:
  • Valid NC Driver’s License or the ability to obtain one within 60 days of employment.
