Essential Job Functions

The Preconstruction Coordinator supports our Preconstruction and Estimating team through timely and accurate calendar and document management, lead generation, bid coordination and communication with subcontractors and architects. The ideal candidate is organized, and enjoys working in a fast-paced, collaborative environment.


File Maintenance:

  1. Create, organize and maintain electronic and/or hard files as directed
  2. In-house filing during bid process
  3. Facilitate files getting to storage when necessary
  4. Maintain log of files sent to storage
  5. Maintain destroy dates and facilitate file destruction


Bid Document Management:

  1. Maintain bid information on company calendar i.e Pre-Bid, Bid dates, etc.
  2. Obtain bid documents from architect
  3. Maintain log of bid documents / plan deposits
  4. Manage all work necessary for document scanning and copying with the reproduction company
  5. Edit, name, upload and manage bid documents electronically
    • Create bid project within Dodge and upload bid documents and subsequent addenda documents
    • Facilitate subs / suppliers obtaining drawings
    • Dodge access / Follow Up Invites & Addendum Notices
    • Online document distribution
    • Contact with reproduction company
    • Copies of addenda
    • Return documents to architects and facilitate return of plan deposits
    • Throw away excess bid documents for unsuccessful bids
    • Maintain vendor database within Dodge
      1. Enter new vendors from all bids received
      2. Send out Bid Invites and Addenda Notices from Dodge
      3. Assist in sub / supplier phone contact as directed by DM
      4. Update bidder status within Dodge
  • Assist in distributing quotes on bid day to estimate team
  • Scan and organize bid day tab sheets and quotes
  • Assist in preparation of estimate turnover meeting information
  • Manage Subcontractor Qualification process
  • Assist with RFQ / RFP submissions
  • Support Marketing efforts
  • Fill in for, and support of front desk as needed
  • Search job boards and other internet sites for project leads
  • Generate AIA contracts and change orders
  • Set-up custom documents in Procore and communicate any changes to the Project Administrators
  • Process invoices / accounts payable as needed
  • Maintain estimating calendar
  • Any other tasks that may be assigned by management

Education/Experience

  • Bachelor’s degree, preferably in Business Administration, Construction / Project Management, or equivalent preferred
  • 1+ years general construction experience in the commercial space or the like
  • Proficient with MS Excel, MS Word and project management software
  • Familiar with Dodge database
  • Must be able to successfully pass a pre-employment criminal, driving and drug screen
  • Must possess a current and valid state driver’s license and a clean driving record

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties the employee is regularly required to make use of close vision to read engineering blueprints and reduced size black and white drawings, specifications, fine print, reports, schedules, estimates, spreadsheets, summaries and other documents in either hard copy or computer monitor. Must be able to converse on the telephone and in person, use hands and fingers to write and type, prepare email messages with attached files and use personal computers and calculators. The employee will periodically need to lift and/or carry heavy documents such as specifications and/ or equipment, weighing up to 25 pounds.
