Salary range: $84k-114k (Depending on experience)

Job Description:

We are looking for a Practice Management Specialist, who will be pivotal in managing the day-to-day business aspects and operations of Practice Management. This role involves significant involvement in shaping and executing major initiatives and programs within the practice group.

Administrative and Operational Support:

  • The role includes providing comprehensive administrative and operational assistance to Practice Group Directors (PGDs). Responsibilities encompass handling expense reports, arranging travel, organizing meetings, managing calendars, and undertaking special projects as needed.

Meeting Coordination and Documentation:

  • The specialist will organize and oversee various departmental and practice group meetings, including retreats and other group events. This includes taking detailed meeting notes, ensuring follow-ups on action items, and collaborating with colleagues from other departments as necessary.

Presentation and Meeting Participation:

  • You will be responsible for creating PowerPoint presentations for Practice Group Leaders (PGLs) and PGDs, as well as attending group meetings to ensure accurate documentation of discussions.

Department Management and Reporting:

  • Your role involves organizing and implementing strategic plans for departments or practice groups, collaborating with PGDs and leaders to achieve goals. This includes preparing reports and statistics for monthly productivity, departmental updates, and coordinating departmental and practice group level projects.

Financial Oversight:

  • Monitoring and reporting on practice group budgets, and assisting PGDs with various special projects will be a key part of your responsibilities.

 

Desired Skills & Qualifications:

  • The candidate should possess excellent judgment and maintain confidentiality.

  • Exceptional oral and written communication skills are required.

  • Strong data analytics capabilities are essential, including the ability to effectively present data to senior management.

  • Demonstrated organizational skills, with the ability to manage multiple tasks in a fast-paced environment, are crucial.

  • A commitment to providing high-quality service to both internal and external clients is a must.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) is necessary, along with the aptitude to quickly adapt to new software.

  • The ideal candidate will have over 5 years of experience in a law firm setting and hold at least a Bachelor’s degree or its equivalent.

 

Reporting Structure:

The position reports to the Director of Paralegal Management.
