We seek a medical admin with six months and one year of healthcare admin experience. This position is full-time and remote, supporting Piedmont Henry Hospital - OB.
POSITION OVERVIEW:
The OB/GYN Practice Coordinatoris responsible for administrative and operationally supporting and maintaining the practice. It will support the TH Facility Medical Director and provider staff, Vice President of Operations, Operations Director, National Medical Director, and hospital administration to meet all needs. Operationally, by accurately identifying and accounting for each patient seen in the hospital by the hospitalist physicians. The Practice Coordinator is responsible for obtaining, reconciling, and processing all charges in the IMBills/ONBase system for the coding team to process. Additionally, they will provide monthly volume data and will work with the TeamHealth Facility Medical Director and facility as necessary to gather key metric data for dashboards. The individual in this position is required to perform to productivity standards and meet
target goals as outlined by the Director of Operations.
OB/GYN Practice Coordinator - ESSENTIAL RESPONSIBILITIES:
1. Has the responsibility to carry out duties as directed by TeamHealth.
2. Shall communicate regularly with the Director of Operations.
3. Will follow and maintain patient confidentiality appropriate with HIPAA compliance standards at all times.
4. Will access hospital information systems to reconcile the patient demographic, insurance, and authorization data being transmitted by the ADT Feed and ensure accurate patient registration is being captured in the billing system by following a daily and monthly reconciliation process.
5. Coordinate completion of all clinical documentation from physicians and proactively work with the medical director to ensure complete documentation and signatures.
6. Alert the Director of Operations and seek assistance from TeamHealth when an activity or process change at the facility changes or deviates from the current process.
7. Achieve and maintain individual target goals for the facility as designated by the Director of Operations.
8. Maintain professional performance at all times.
ADMINISTRATIVE RESPONSIBILITIES:
1. Support Facility Medical Director (FMD) and staff, VP of Operations (VPO), Operations Directors (OPS), Regional Medical Director(RMD) and National Medical Director (NMD).
2. Monthly TH OB Provider meeting – meeting scheduling, agenda preparation, and minutes as requested by TeamHealth Facility Medical Director.
3. Monthly support of collecting and reporting key volume data to FMD for dashboard metrics. 4. Check site voicemails (as applicable) at least two times daily, with a 24-hour response turnaround time.
5. Call Back Patients and aid in scheduling TH OB/GYN Hospitalist clinic appointments where applicable.
OB/GYN Practice Coordinator - OPERATIONAL RESPONSIBILITIES:
1. The PC shall obtain the daily fee tickets from the provider on call and the daily patient census from the facility.
2. The PC shall process each patient in IMBills/ONBase. Each patient charge is reviewed against the daily census, monthly delivery, and Emtala logs for reconciliation.
3. The PC shall communicate with the Director of Operations and TH OB physicians when records are identified as incomplete. Suppose the record is not completed within the acceptable period. In that case, notification will be communicated to the Director of Operations first and then escalated to the FMD, NMD, VPO, and RMD as needed.
4. The PC is expected to promptly identify and retrieve all missing or incomplete records to maintain goal expectations.
5. The PC will assume tasks, duties, and responsibilities as assigned by the Director of Operations or designated TeamHealth staff.
6. The PC shall develop and maintain a positive working relationship with hospital staff.
7. The PC shall work the number of assigned hours per week and complete a time sheet weekly in Kronos. Overtime must have prior approval.
8. Vacation and time off are to be scheduled in advance to ensure the workflow is not interrupted.
