Job description

What you will do:
Under general supervision, and following prescribed procedures and policies, this position provides administrative support within the Portland facility. This role requires unquestioned integrity and discretion due to the highly confidential and business sensitive nature of the matters managed by the departments it supports.
How you will do it:
  • Provides general administrative support to the plant including filing, copying, mailing, ordering supplies, etc.
  • Acts as the first point of contact for the plant, arranging for security badges and building access.
  • Maintains and continuously updates phone lists for the plant.
  • Organizes the logistics for staff meetings, and other internal and external meetings including transportation, meeting rooms, audio-visual needs and catering requirements.
  • Manages multiple department reports including Cap Hours, Attendance, Corrective Action, Training Tracker, and engagement tokens reconciliation.
  • Coordinates the review, approval, and submission of own invoices to Accounts Payable.
  • Processes bi-weekly payroll, general payroll and new hire transactions; fielding questions from employees as needed.
  • Supports the entire temporary staffing process: point of contact with supervisors and staffing agencies, processes temp employee timecards and approves staffing agency invoices for payment
  • Serves as the CMS Communication Ambassador, maintaining the welcome board, bulletin boards.
  • Assists with projects and special events and all other duties as assigned.

What we look for:
  • Associate's degree or equivalent combination of education and progressively responsible work experience
  • Minimum of two (2) years administrative experience
  • Proficient in Microsoft Office applications including Outlook, SharePoint, Word, Excel, and PowerPoint
  • Working knowledge of payroll systems, experience with Kronos desired not required
  • Excellent listening and communication skills (both oral and written)
  • Results-oriented with ability to multi-task and manage ambiguity effectively
  • Superior organization and time management skills including attention to detail, accuracy, and timeliness
  • Builds collaborative relationships throughout the organization
  • Absolute Integrity and discretion required due to confidential and sensitive nature of information
