Position: Pilot Records Specialist

As the Pilot Records Specialist for Grant Aviation, you will work closely with and report to the Manager of LMS and Training Records. A person in this position will quickly gain familiarity with operational needs and possess the necessary knowledge to process records in compliance with Grant Aviation policy. This individual will be able to facilitate timely completion of tasks to achieve team responsibilities and goals.

Life on the Job

You will primarily work from our offices on the south end of the Ted Stevens International Airport. The typical workweek is Monday through Friday, 8:00 am to 5:00 pm. Our culture puts high value on in-person work arrangements, so you will thrive in a busy office environment with plenty of direct interaction.

Responsibilities:

  • Receive, validate, and organize Pilot Records documentation in adherence to applicable Federal Aviation Regulations (Section 14 CFR Part 135).
  • Create comprehensive individual files for newly hired pilots, including necessary certificates, training records, and medical documentation.
  • Maintain and update individual crewmember files to ensure ongoing compliance with regulations and company policies.
  • Manage the 135 Air Carrier Management database to verify crewmember qualifications for flight assignments.
  • Enter and update completion event dates for training and certification documents into crewmembers' files.
  • Handle incoming Pilot Records Improvement Act (PRIA) requests and provide records within designated timeframes.
  • Updating training events in the FAA Pilot Record Database in a timely manner.
  • Coordinate with external contacts to fulfill PRIA requests and track responses.
  • Notify management of any discrepancies or compliance issues.
  • Assist with auditing of Pilot Records as required.
  • Perform additional duties as assigned.

Qualifications:

  • Bachelor's Degree preferred, or equivalent experience with a High School/Associates Degree.
  • Advanced organizational skills with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office suite.
  • Strong commitment to upholding document management standards.
  • Excellent oral and written communication skills.
  • Ability to work both independently and collaboratively within a team environment.
  • Must pass a background check.

Physical Demands:

  • Regular listening, talking, walking, sitting, and standing.
  • Occasional lifting of modest payloads (rarely exceeding 25lbs).
  • Typing on keyboards and operating various office equipment.
