Job Summary and Qualifications
Physician Recruitment Coordinator assists the division team with all activities related to provider recruitment. This role is key to ensure seamless site visit planning and travel logistics. Managing multiple calendars across the team, report management and formatting, facilitating meeting logistics are main responsibilities within this role. The ability to function autonomously and prioritize work appropriately is expected.
**This position is an office-based role out of our West Florida Division office in Tampa, FL.**
Responsibilities:
- Assists recruiters / physician candidates with site visit logistics, i.e., travel arrangements, itinerary composition, reservations, transportation, welcome packets, etc.
- Manages expense reimbursement for candidates, as well as internal reallocation of expenses through systems access and utilization.
- Runs monthly reports and communicates / sends out to multiple audiences.
- Conducting preliminary background / reference checks and logs all information into SalesForce
- Assists VP(s) of Recruitment with reports, power point presentations, meeting logistics, calendar requests and other administrative duties as assigned.
- Performs research and sourcing assignments
- Ability to assist with posting campaigns for recruiters, ensuring appropriate tracking and execution of marketing campaigns
- Performs complex administrative duties relative to Physician Recruitment, including composing correspondence, and coordinating resources across corporate functions.
- Posts relevant information into SalesForce
- Handles various administrative details with initiative and good judgment
- Assisting other staff as requested
- Attending meetings as assigned and reporting on actions
- Participating in educational activities and programs
- Maintaining strictest confidentiality
Knowledge, Skills, & Abilities:
- Strong interpersonal, communication, and organizational skills with high level of attention to detail
- Knowledge of healthcare recruiting and healthcare organizations
- Ability to work in a face-paced environment, handling multiple tasks simultaneously
- Ability to independently plan, organize, prioritize, schedule, coordinate, and make decisions related to assigned tasks and responsibilities
- Ability to work after normal business hours as required to fulfill the responsibilities of the position
- Knowledge of organizational policies, procedures, and systems including Optimum (Salesforce)
- Ability to work in a fast paced, high stress environment
- High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint
Education & Experience:
- High School Diploma or GED required; Associates or Bachelors degree in Business Administration or related field preferred.
- 1-3 years of administrative experience preferred.
