Job purpose

Receives incoming phone call from patients, insurance providers, medical practices and the like. Provides assistance in scheduling appointments, patient registration, medical chart maintenance.

Duties and responsibilities

  1. Answer telephones and direct calls to appropriate staff.
  2. Operate office equipment, such as voice mail messaging systems, and use word processing, spreadsheet, or other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records.
  3. Receive and route messages or documents, such as laboratory results, to appropriate staff.
  4. Compile and record medical charts, reports, or correspondence, using personal computer.
  5. Arranges appointments and registers patients, ensuring that all demographic information is current.
  6. Answers non-medical questions and gives routine non-medical instructions.
  7. Enters demographics of new patients, including insurance information, into computer.
  8. Answers and screens telephone calls and takes messages.
  9. May coordinate insurance verification and perform precertification with insurance companies.
  10. Other duties as assigned

Qualifications

  • High School Diploma or GED. Minimum of two years of experience.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Talking to others to convey information effectively.
  • The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
  • The ability to speak clearly so others can understand you.
  • The ability to read and understand information and ideas presented in writing.
  • The ability to combine pieces of information to form general rules or conclusions

Working conditions

Physical requirements

Must be able to walk, climb, bend and squat as well as be able to lift items weighing up to 25 pounds.
