Job description

The Department of Pharmaceutical Care at University of Iowa Health Care is seeking a full-time, Pharmacy Technician Supervisorto join our Specialty Pharmacy team. The Pharmacy Technician Supervisor serves as a member of the Pharmacy management team. Under general supervision from Ambulatory Care Pharmacy Managers, the Technician Supervisor coordinates and supervises the personnel and technical services of pharmacy operations, specifically the Patient Management Call Team.  The Technician Supervisor is aware of all processes and procedures and ensures accountability of technician services. This position will have work locations at the Wells Fargo Building in Coralville, and will play an integral role in pharmacy call center operations and coordination of services.

Position Responsibilities:

Human Resource Management

  • Supervises technical activities of technician staff in UIHC Ambulatory Pharmacies and services.
  • Manages the hiring of staff and students, including candidate evaluation, interviewing, and onboarding.
  • Ensures accountability and documentation of staff competencies.
  • Develops, manages, and optimizes the performance of staff.  Ensures staff are compliant with policies, procedures, and regulations.
  • Meets with staff routinely to advance engagement and support.
  • Provides staff feedback and supports HR initiatives in a positive manner.
  • Reviews errors and provides staff coaching consistent with a Just Culture environment.
  • Oversees the maintenance of standard procedures and quality assurance measures.  This also includes monitoring the technical aspects of patient phones calls ensuring proper established procedures and exemplary services levels are followed.
  • Engages staff in meeting ambulatory care and department goals.
  • Creates an environment that encourages high performance, accountability, and teamwork.
  • Ensures staff understand their roles in patient medication safety and actively searches for methods to improve medication safety aspects of workflow.

Pharmacy Operations

  • Manages the scheduling and coordination of staff to ensure proper support to all pharmacy areas, including responding to and addressing unanticipated absences.
  • Participates in rounding and workflow as necessary to maintain competence, demonstrate leadership, and maintain pharmacy operations.
  • Monitors operation of pharmacy call center. Performs minor adjustments or initiates request for repairs or replacement for call center operations, as needed. Ensures maintenance of equipment is timely.
  • Maintains working knowledge and ownership of telephonic services including Automatic Call Distribution services (e.g., Cisco ACD) and corresponding reports.
  • Collaborates with pharmacy team members and multi-disciplinary stakeholders to ensure medication access for patients.
  • Initiates and prepares forms and records including payroll records, inventory records, and requisitions.
  • Participates in inventory management and optimization in ambulatory care areas.
  • Actively participates in the drug shortage committee, as assigned, and assists with the coordination and communication of inventory conservation strategies and patient communication plans in the areas of direct oversight and within the ambulatory care department.
  • Contributes to and leads activities relating to strategic planning and implementation for the pharmacy department.
  • Assists the Pharmacy Managers in development and review of workflows, new processes, and initiatives to improve patient safety, efficiency, and quality.
  • Collects and analyzes financial and productivity data. Utilizes data to assist in budget development and preparation, resource allocations and cost containment strategies. Manages workflow to meet budget goals.
  • Participates in management/department meetings and is actively engaged in decision making related to new services or procedures, and employee relations. 

Compliance and Regulatory Management

  • Supervises staff involved with leadership of URAC, Joint Commission, and other accreditation standards.
  • Maintains a working knowledge of accreditation requirements.
  •  Attends and actively participates on committees that establish policies and procedures that pertain to quality, service level, and access of Pharmacy Services.
  •  Assists with scheduling certifications, maintenance, routine inspections, calibrations of equipment, troubleshooting, and mitigating equipment failures when/as needed.
  •  Attends (and communicates via in-service education) seminars, conferences and institutes designed to increase personal knowledge of accreditation and compliance standards, communication techniques, employee relations, and management.

 Technical Duties

  • Performs all duties performed by the Ambulatory Care Pharmacy technicians as needed.
  • Performs other duties as assigned.

  • Completes and maintains compliance with all competencies and educational requirements.

Education Requirements:

  • Bachelor's degree or equivalent combination of education and experience.
  • Registration with Iowa Board of Pharmacy prior to hire. Successful completion of the Pharmacy Technician certification exam within twelve months of the start of employment. 

Experience Requirements:

  • Minimum of 3 years' experience in supervisory, pharmacy or technical work setting.
  • Job related experience with a commitment to diversity in the work environment.
  • Job related experience with commitment to service excellence.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills, creating positive working relationships with team members including healthcare providers, vendors and pharmacy staff. 

Desired Qualifications:

  • Job related experience in a hospital setting.
  • A Master of Science in healthcare/management related advanced degree such as an MHA, MPH or MBA.
  • Experience with automation/technology, human resources management, project management and Epic electronic health record.
  • Ability to effectively multi-task, keeping multiple initiatives moving forward simultaneously.
  • Experience with call center operations or Specialty Pharmacy processes.
  • Experience with LEAN or Six Sigma improvement methodologies.
