Job description

We're currently seeking a versatile and experienced Family Assistant to join our close-knit team close to downtown in Bellevue, Washington. In this role, you'll play a pivotal part in managing various business-related tasks while also providing attentive childcare support. You’ll be joining a team that includes a household manager, weekly cleaners, and a weekly chef. The ideal candidate will possess a strong background in business operations and a genuine passion for nurturing family environments. We're looking for someone who is a proactive problem solver, able to handle challenges efficiently, works with discretion, and flexible/adaptable to meet evolving needs. This position involves non-traditional hours on evenings and weekends, revolving around the family’s schedule. PRIMARY DUTIES:

Personal/Household Assistant:

Coordinate and manage the family's personal calendar, ensuring the Principals are informed about important events such as birthdays, weddings, and medical appointments.

Handle incoming and outgoing phone calls on behalf of the family, including scheduling or canceling personal appointments, arranging travel itineraries, and preparing logistical documents.

Accompany the family on trips, outings, activities, and appointments, as needed.

Support the household manager in daily operations, including conducting research and troubleshooting issues as necessary.

Conduct research and organize travel arrangements, birthday celebrations, and other special family events.

Maintain an updated list of approved products for household and personal use, including sourcing necessary information.

Manage inventory of personal items for Principals, replenishing supplies as needed.

Submit purchase orders on a monthly or weekly basis, obtain approval, place orders, and monitor delivery status.

Procure household items and gifts as required, prepare and submit expense reports, and review receipts for reimbursement.

Utilize strong organizational skills to assist the household manager in creating and maintaining household binder.

Provide transportation services for the family as requested.

Nanny:

Collaborate closely with the children's parents to provide childcare support as needed.

Conduct thorough research to identify age-appropriate local activities and resources, arrange attendance, and accompany children to events such as summer camps.

Provide transportation for children to and from playdates, outings, classes, etc.

Assist children with homework and school projects in an engaging and interactive manner.

Foster children's independence, encourage self-motivation, and provide guidance on etiquette and manners.

Organize and participate in various activities at home, scheduled outings, and themed weekends.

Ensure children's schedules are well-balanced and conducive to a smooth-running day.

Prepare fresh and nutritious snacks for children.

Cook meals for children as needed.

Maintain cleanliness in household areas and tidy up after child-related activities.

MINIMUM REQUIREMENTS:

Have at least 3 years of childcare experience.

Have at least 3 years of Personal Assistant experience or in related administrative roles

Bachelor’s degree or equivalent experience.

Clean background check and driving record, reliable personal vehicle and valid driver’s license.

Holds a valid passport and is willing to travel with family both internationally and domestically.

Ability to work in the United States.

Flexible schedule with weekend and holiday availability.

Ability to establish a positive relationship with children and intuitively understand their needs.

Strong organizational skills, attention to detail, proactive, excellent time management skills, and a service-oriented mindset.

Attentive to the preferences and style of the Principals, capable of taking direction and receiving feedback.

Presents oneself in a clean, professional, and energetic manner.

Reliable and punctual. Long-term intent only.

Exceptional communication skills and adeptness at multitasking.

Exhibiting creativity, positivity, happiness, compassion, and maintaining composure under pressure.

Resourceful and proactive in completing tasks in a timely manner, with a willingness to assist in the day-to-day operations of a busy family and household.

First aid/CPR certification, or willing to receive prior to start.

PREFERRED REQUIREMENTS:

Experienced working with preschool and school-aged children.

Experienced with 2+ children in a private home domestic setting.

Adherence to CDC guidelines and health protocols.

START DATE AND BENEFITS:

The start date is as soon as the perfect match is found, ideally in May. In addition to a competitive compensation package starting at $36 per hour DOE, the family offers flexible benefits that include guaranteed hours, weekend differential, 2 weeks PTO, 10 paid holidays, accrued sick leave, healthcare stipend, and overtime pay.
