Southern California United Food & Commercial Workers Unions & Food Employers Joint Benefit Funds Administration, LLC (The Funds) were created more than 40 years ago as a result of collective bargaining between the Southern California Retail Food Employers and the Southern California UFCW Union Locals. The Funds serve in excess of 100,000 participants! There are two Funds, the Pension Fund and the Benefit Fund - through which member retirement and health and welfare benefits are provided.
The Funds Office is currently searching for a Pension Clerk (Temporary position) to join our Pension Department.
We are seeking a temporary clerical employee to join our team and assist with processing Pension Payment Verifications (PPV). Additionally, the successful candidate will be responsible for processing all return mail for our department, including annotation in appropriate systems, resending, and maintaining a detailed log of all activities.
Temporary Seasonal Employee Responsibilities (Anticipation of a five month project):
- Process all return mail received by the department, including sorting, annotation, and updating address information as needed.
- Resend any returned mail to the appropriate recipients, ensuring accurate delivery.
- Maintain a detailed log of all return mail processing activities, including dates, actions taken, and any relevant notes or updates.
- Collaborate with participants to ensure timely and accurate completion of PPVs.
- Adhere to departmental policies and procedures, as well as applicable regulations and guidelines, while performing job duties.
- Provide administrative support to the department as needed, including filing, data entry, and other clerical tasks.
General Responsibilities for Pension Clerk:
1. Answer, screen and transfer incoming phone calls as appropriate and take complete and detailed messages. Managing a large number of inbound and outbound calls in a timely matter.
2. Identify participant’s needs, clarify information, research issues and provide solutions.
3. Handle all participant’s information with confidentiality and treat each call with utmost courtesy.
4. Assist with daily administrative functions of the Pension Department.
5. Perform data entry, file documents, create and print periodic reports.
6. Stock and maintain inventory of current Pension and Death Benefit forms, brochures and other communication materials.
7. Maintain internal production expectations, including: quality of processed pension plan applications, quantity of pension applications
8. Preparing various correspondence and other documents using MS Word; update Excel spreadsheet data.
9. Comply with the policies of the Trust Fund, as set forth in the Employee Handbook.
10. Abides by organizational and HIPAA guidelines, privacy practices, and confidentiality.
11. Regular and consistent attendance.
Qualifications:
- Prior experience in clerical or administrative role preferred.
- Strong communication skills, both verbal and written, with the ability to interact professionally with members and colleagues.
- Excellent organizational skills and attention to detail, with the ability to accurately record and maintain data.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Demonstrated ability to work independently and as part of a team, with a positive attitude and willingness to learn.
