Job description

Overview: Responsible for daily processing to provide timely financial information and accurate bi-weekly payroll for a multi-entity, multi-state organization. Performs other duties as assigned. May be required to work overtime during peak periods. Responsibilities: Essential Duties and Responsibilities
  • Performs timely and accurate payroll processing of assigned entities.
  • Distribute reports, maintain distribution lists and timekeeper statistics.
  • Maintains time and attendance records in timekeeping system to prepare for time entry loading into Payroll processing system. Balances the time entry load.
  • Maintains automated payroll deductions through badge scanning software and prepares and balances the deduction loading into Infor.
  • Processes, maintains and reconciles applicable earnings and deductions each pay period.
  • Utilizes scripts for Infor payroll processing and communicates discrepancies to the payroll coordinator, supervisor or manager.
  • Reviews process flows through the Human Resources system and into timekeeping system for accuracy.
  • Prepares reporting for staff accountant's journal entry balancing, optional insurances, deduction registers for AP notifications in an accurate and timely manner.
  • Develops and maintains leadership queries/reports in timekeeping system.
  • Provides communication to timekeepers and educates partners on payroll processes or reminders of upcoming deadlines.
  • Provides timekeeper training, either through the Mercy System education software or with one-on-one classes to new timekeepers.
  • Maintains training guides and assists in maintaining accurate information provided on the Mercy Intranet.
  • Works closely with the Payroll Lead/Supervisor to complete quarterly reports as assigned and reports balancing issues
  • Assist partners in maintenance of W4 or direct deposit changes and provides guidance in operating self-service from the payroll perspective.
  • Processes past pay adjustments and retro payments as necessary.
  • Prepares Federal and State tax reporting for deposit.
  • Completes demand cycle checks if requested and approved.

Education and Experience


High school diploma or equivalent required and a minimum of three years related experience. Working knowledge of payroll best practices. Strong knowledge of federal and state regulations.


Certification and Licensure

Skills and Abilities

Proficient keyboarding and 10 key calculator aptitude. High degree of accuracy.
Must be able to calculate FLSA overtime and a weighted average rate of pay.
Must be able to calculate tax liability and understand how to back into gross or net wages.
Must possess excellent time management skills.
Experience with timekeeping and payroll processing software.
Advanced computer skills; proficient MS Office.

Manual dexterity needed to operate telephone and keyboard.
