Job description

Purpose & Overall Relevance for the Organisation:

 

Responsible for managing accurate payroll execution, payroll process consistency and payroll data accuracy with a focus on payroll accounting and taxes for North America.   Responsible for compliance with Federal, State and local regulations, laws and standards as well as customer satisfaction for payroll delivery. Responsible for planning, coordinating, and organizing workflow to meet rigid payroll deadlines.

 

  • Ensure the accurate and timely filing of payroll taxes, payments, and other statuary information requests in multiple jurisdictions (USA and Canada).
  • Stay current on changes to Payroll Processing policies, internal procedures, and software updates.
  • Collaborate with the corporate tax on all payroll tax related matters and with accounting related to month end process.
  • Leads necessary activities in processing of biweekly, monthly, quarterly and year end activities, including balancing, reporting, administering W2, W2-C, T4s, RTL1s.
  • Ensures all payrolls, accounting and auxiliary system requirements are met regarding tax set-up, tax deposits, tax filing, yearend reconciliations.
  • Coordinates the day-to-day payroll functions, ensures compliance with all applicable federal, state, and local tax regulations as well as wage and hour laws.
  • Respond to employee inquiries regarding payroll issues or concerns with a high level of customer service including supporting the team with escalated or more complex issues.
  • Responsible for tax compliance including reviewing simulations to confirm if new tax jurisdictions require set up. Manages applying for SIT, SUI, Local and City tax ID’s via ADP Smart Compliance and jurisdictions.  Maintain and document all tax payroll records.
  • Partners with Finance and supports month end accounting reconciliation. Process journal entries monthly, including biweekly salary accruals.
  • Process reports for internal management and external audit requests, including biweekly and quarterly reporting, re-classing and analysis to the Finance Team.
  • Assist in the maintenance of financial controls and audit trails for all transactions.
  • Assist and support biweekly processing payrolls, auditing net payments, tax withholdings, taxable fringe benefits, shadow payroll and other related payroll tax tasks.
  • Work with state agencies in USA and Canada to set up tax accounts and resolve outstanding issues.
  • Maintains complete and accurate policy and procedure documentation.

  • Ability to analyze and resolve complex payroll issues including driving successful resolution  
  • Ability to work in a fast pace – ever changing team environment and work under time constraints to ensure that deadlines are met

 

Requisite Education and Experience / Minimum Qualifications:

  • Bachelor’s degree required or equivelant combination of experience and education.
  • 5-7 years of work experience in payroll operations with a high volume bi-weekly payrolls in US multi state environment and Canada.
  • In-depth knowledge of payroll taxes, accounting and wage and hour regulations.
  • Solid understanding of end to end payroll operations.
  • High level of affinity to and experience with payroll solutions, ideally with SAP-HR and ADP Global View.
  • Excellent Microsoft Excel / spreadsheet analysis experience.
