Patient Services Coordinator

SUMMARY:
Under the supervision of the Office Manager, the Patient Services Coordinator (PSC) is the first and primary point of contact for patients as they visit Case Integrative Health.
The PSC is responsible for all facets of a patient’s experience, acting as the first point of contact for patient communications including: educating new patients and scheduling appointments (electronically and over the phone), managing the in-clinic experience during the visit, and troubleshooting non-medical issues as appropriate.
While patients are at the clinic, the PSC is responsible for the check-in and check-out process, including helping patients understand their bills, any lab work and overseeing a small retail environment of supplements and other medical items that support treatment protocols. From time to time, other duties may include interfacing with insurance companies, facilitating patient tests and procedure authorization, managing medical records, maintaining inventory of supplies and general maintenance of the office.
SCHEDULE:
Full-time, Monday – Friday. Very rarely work on nights and weekends may be required with advanced notice. Travel will be <5% with significant advanced notice.
RESPONSIBLITIES:
1) Welcoming and educating patients and visitors on the phone, in-person or via email and answering or referring inquiries
2) Managing practice schedules for appointments and other therapies
3) Answering patient’s non-medical questions and troubleshooting patient issues as needed
4) Triaging medical questions as appropriate
5) Creating a clean, friendly and compassionate environment for patients
6) Maintaining patient accounts by obtaining, recording, and updating personal, medical and financial information as needed
7) Recording and collecting patient charges, assisting with online and in-clinic apothecary purchases and maintaining up-to-date records
8) Identifying and developing practices to improve the patient experience across all channels
9) Identifying and advancing the practice’s knowledge base within a scope of interest
10) Maintaining safe, secure, and healthy work environment by establishing and following standards and procedures; complying with legal regulations
11) Other duties as assigned
QUALIFICATIONS:
1) Outstanding communication skills, both verbal and written, as well as bedside manner.
2) Service orientated: capable of providing a calming, confident voice to patients and visitors with a friendly and approachable demeanor; able to resolve patient issues in a timely and appropriate manner; willingness to take ownership of patient problems and drive them to satisfactory conclusions.
3) Strong time management and organizational skills. Able to wear multiple hats.
4) Commensurate team player who is willing to work every day to make everyone better.
5) Must be self-starter and comfortable with ambiguity.
6) Compassionate, curious and driven.
7) Fluency in Microsoft Word, Excel and Outlook, EMR and medical billing a plus, but not required.
8) Service industry experience a plus.
PHYSICAL REQUIREMENTS:
1) Visual/hearing ability sufficient to comprehend written/verbal communication.
2) Ability to perform tasks involving physical activity which may include lifting, bending and standing.
3) Ability to deal effectively with stress.

Conventional medical care is primarily centered on treating symptoms. This works amazingly well for acute issues.
