Patient Relations Specialist (Receptionist)

IVme Wellness + Performance is seeking a passionate and motivated Patient Relations Specialist to join our team. The Patient Relations Specialist should anticipate patients’ service needs and is accountable for handling all aspects of the patient experience such as managing incoming calls, handling all patient scheduling, welcoming all visitors, maintaining 5-star customer service for all visitors and patients, as well as keeping the lobby clean, organized, and inviting.

SUMMARY OF RESPONSIBILITIES

• Warmly welcome and greet all visitors to Center, providing exceptional customer service
• Answer telephone calls, emails and return voicemails with appropriate etiquette; providing accurate information to patients
• Keep the reception area clean, disinfected and presentable
• Possess strong knowledge of all services offered
• Provide guidance and education to patients on the services offered
• Keep clients updated on currently available promotions and discounts offered
• Accurately manage the schedule based on services desired by patients and provider availability
• Check patients in and provide correct paperwork, create patient appointments and enter patient demographics
• Process all payments, check patients out and provide correct paperwork
• Sign for any incoming mail or packages
• Promptly unpack and put away administrative item deliveries
• Inform clinical staff members of patients that have arrived for their appointments, who have arrived without appointments and of appointments that have been cancelled
• Notify management of low inventory and clinic emergencies
• Confirm all appointments for next day, informing scheduled provider of any changes
• Perform daily opening and closing duties
• Handle cash drawer and complete daily deposits
• Receive customer complaints and feedback and direct them to appropriate offices for resolution
• Capture (7) to (10) photos or videos per working week of IVme staff on site, send to appropriate marketing person on weekly basis
• Encourage and average (1) patient selfie per day, in which the patient posts and tags IVme on Instagram or Twitter
• Maintain a friendly, yet professional demeanor at all times
• Happily perform all other duties assigned by management

QUALIFICATIONS

• Highly presentable with exceptional customer service skills and positive attitude; self-motivated, flexible and enthusiastic
• Must be very organized and detail oriented
• Ability to communicate clearly, both verbally and written
• Familiar with PC and able to quickly learn new computer programs
• Strong problem-solving skills
• Strong work ethic
• Comfortable and at-ease working in a fast-paced environment
• Ability to establish priorities and coordinate work activities
• Passionate about IVme’s services
• Team player working towards common goals that benefit the entire team
• Flexible schedule with weekend and evening availability; two weekend shifts per month requirement

Pay: $18.00 - $20.00 per hour
