Job Description

ROLE AND RESPONSIBILITIES

The Passport Agent performs a variety of clerical tasks related primarily to the processing of U.S. applications.
The Passport Agent performs both routine and complex tasks involved with reviewing passport applicant information, ensuring applications are completed and submitted correctly and in a timely fashion, answering questions about passport applications, and following up on problem applications when appropriate. The
Passport Agent keeps internal and external records of passport applications and activities, following all regulations and requirements established by the Jenkintown Public Library and the federal government. The position involves a great deal of contact with the public. The Passport Agent provides general directional assistance to library users on regular library services, and sometimes provides circulation assistance if not occupied by passport duties. Agent reports directly to the Library Director.

  • Accepts and processes U.S. passport applications.
  • Instructs applicants in procedures and form completion; administers oaths.
  • Reviews identity documentation of applicants for accuracy and validity.
  • Collects fees; prepares transmittal forms and envelopes for delivery to the post office or other carrier as needed.
  • Stays up to date on new information, such as changes in passport application procedures, by consistently and regularly reading materials provided by U.S. Passport Services, reporting key information to supervisors as needed.
  • Answers informational and directional questions of passport applicants in person and by phone. Refers and routes library users to other staff as needed.
  • Resolves routine passport problems, such as applicant concerns with delayed or denied applications. Refers complex problems to supervisors as needed.
  • Performs passport desk opening and closing procedures; participates in general library opening and closing procedures.
  • Maintains records in accordance with the library’s and U.S. government’s retention policies.
  • Maintains passport files and passport supplies.
  • Prepares cash receipts documentation.
  • Tracks, compiles, and submits passport statistics.
  • Maintains supply of passport related printed materials for public distribution.
  • Keeps work area and common areas neat and orderly. Monitors and notifies management of any technical or facility issues.
  • Attends staff meetings and all training required.
  • Assists with in-house orientation or training of passport staff.
  • Monitors public areas and library user behavior and takes steps necessary to ensure safety and an appropriate environment are maintained.
  • Assumes other duties and projects as assigned.

PHYSICAL REQUIREMENTS

  • Must be able to crouch, stoop, bend and/or crawl.
  • Must be able to reach overhead, climb, and use a step stool.
  • Must be able to use stairs.
  • May sometimes be required to lift up to 15 pounds.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Requires a high school diploma or G.E.D.
  • Requires completion of Passport Application Acceptance training.
  • Must have current driver’s license, insurance, and own transportation or ability to travel

PROBATION PERIOD

All new employees are subject to a 90 day probationary hire. A performance review will be conducted during or upon the completion of the employee’s first 90 days. The Jenkintown Library reserves the right to separate employment with any individual during this probationary period, for any reason.
